The Compliance and Quality Specialist plays a critical role in ensuring organizational compliance, service quality, and continuous improvement across grant-funded and accredited programs. This position supports adherence to CARF standards, funder requirements, and internal policies through routine monitoring, documentation review, desk audits, and performance analysis. The role functions as an independent oversight resource, helping to identify risks, strengthen systems, and promote accountability across programs.

Requirements

  • Bachelor’s degree in a related field required; equivalent experience may be considered
  • Experience in compliance, quality assurance, auditing, or workforce development programs preferred
  • Familiarity with CARF standards, grant-funded programs, or human services compliance strongly preferred
  • Working knowledge of case management and customer relationship management (CRM) systems, such as CaseWorthy, Salesforce, HMIS, and similar platforms
  • Ability to review, validate, and analyze data within CRM systems to support compliance monitoring, reporting accuracy, and performance analysis
  • Experience identifying data quality issues and supporting corrective actions to improve data integrity and consistency
  • Strong analytical and problem-solving skills with attention to detail and accuracy
  • Excellent written and verbal communication with ability to explain complex concepts to diverse audiences
  • Project management skills with ability to manage multiple deadlines and priorities
  • Collaborative team player who can work effectively with program staff, leadership, and external partners
  • Adaptability and flexibility to work in a dynamic, mission-driven environment

Responsibilities

  • Quality Assurance & Compliance Monitoring Conducts routine desk audits, file reviews, and documentation reviews to assess compliance with CARF standards, grant requirements, and internal policies
  • Identifies trends, risks, gaps, and areas for improvement related to documentation quality, service delivery, and compliance
  • Maintains audit tools, tracking logs, and quality monitoring reports
  • Supports preparation for CARF surveys, funder monitoring visits, and internal audits
  • Findings, Reporting, and Corrective Action Documents compliance findings clearly and consistently
  • Recommends corrective and quality improvement actions aligned with CARF standards and funder expectations
  • Tracks corrective actions and follow-up activities to completion
  • Communicates findings, trends, and recommendations to Grants & Compliance leadership
  • Performance Analysis & Continuous Improvement Supports performance analysis activities, including data review, outcome tracking, and quality improvement planning
  • Assists in maintaining performance analysis documentation and evidence required for accreditation and funders
  • Contributes to Quality Improvement Plans (QIPs) and ongoing monitoring efforts
  • Training & Technical Support Provides guidance and technical assistance to program staff related to documentation standards, compliance expectations, and quality improvement
  • Assists with staff training, coaching, and resource development related to compliance and quality assurance
  • Authority & Independence Has the authority to monitor, identify, and document compliance and documentation risks
  • Issues formal findings and recommends corrective and improvement actions, as appropriate
  • Communicates findings directly to Grants & Compliance leadership to ensure objectivity and accountability
  • Maintains independence from program supervision and fiscal processing functions
