About The Position

This position is responsible for logistical coordination of the 4-H Youth Development Program events, outreach, and administrative support. In this role, you will assist the 4-H Agent in community relationship building through the delivery of 4-H Extension Education programs and in reporting, financial tracking, customer service, communicating with stakeholders, and preparing for 4-H youth development events and programs. Requirements

  • High School Diploma or equivalent education -AND- Three (3) years, minimum, of clerical, administrative, and computer experience.
  • One year of related College coursework in Business or a similar field from an accredited college or university may substitute for one year of work experience.
  • Valid Florida driver's license by date of hire.
  • Subject to Passing Substance Screening: This position is subject to passing a pre-employment substance screening. An applicant who fails to pass a required drug screening test shall be disqualified from employment for a period of five (5) years.
  • Level II Fingerprinting: This position is subject to passing a Level II Fingerprinting.
  • Employees in this role must occasionally lift and/or move up to 20 lbs.

Nice To Haves

  • Bachelor's degree in a related field, related professional certification, and experience with Extension, youth development, education, and/or working with volunteers.
  • Bilingual in English and Spanish.
  • Experience with database management and financial accounting.
  • Highly proficient in MS Office Suite, email applications, and an understanding of eNewsletter programs.
  • Skilled in creating and generating reports, preparing and coordinating educational materials, planning and facilitating meetings, and organizing and presenting information.
  • Able to interpret and apply principles, policies, and practices.
  • Exceptional customer service and relationship-building skills, working with people from diverse backgrounds in a team environment and addressing situations or issues professionally and tactfully.
  • This involves over-the-phone and in-person interactions, with our 4-H and Extension community, including parents, youth, volunteers, staff, stakeholders, and partners.
  • Capable of prioritizing and organizing your workload, including multiple projects simultaneously and independently, often with tight deadlines.

Responsibilities

  • Support the 4-H Agent in providing excellent customer service for internal and external contacts related to general 4-H Youth Development programs, including walk-in, telephone, and email inquiries.
  • Process and complete requests for assistance from the 4-H community including applications, copies, answering questions, and identifying needed resources.
  • Support volunteer administration tasks including tracking hours, recruitment, and participating in the volunteer screening process.
  • Support proactive communication with 4-H stakeholders through creating informational materials, eNewsletters, website maintenance, social media, surveys, and event marketing materials.
  • Implement 4-H financial tasks including making purchases, cash handling, processing check requests and reimbursements, and tracking payments for event registrations.
  • Track financial budgets for events and different funding sources including tracking expenditures to ensure they are in line with financial review processes.
  • Provide clerical assistance to the 4-H program and 4-H Youth Development Extension Agent.
  • Build relationships with 4-H community, partners, and stakeholders.
  • Collaborate with the 4-H Agent and other UF/IFAS Extension staff to provide 4-H education to 4-H community via webinars, workshops, training, in-person programs, walk-ins, telephone, and email.
  • Represent the department during outreach events and deliver outreach programming.
  • Develop and train volunteers for 4-H events and on 4-H program processes and updates.
  • Plan and implement 4-H events, activities, and educational opportunities including 4-H Club programming and competitions, school enrichment, county, district/regional, and state events and activities, day and overnight camps, and other events.
  • Implementation includes: education, event support, scheduling, preparing logistics, and program evaluation.
  • Plan and schedule volunteer, youth member, and advisory meetings, workshops, and events.
  • Coordinate 4-H program recognition by ensuring volunteers and 4-H youth are recognized for their achievements and contributions to the program.
  • Implement awards and recognition events, including tracking projects, years of service, and membership, and preparing certificates and pins/ribbons.
  • Prepare and compile accurate reports, information, correspondence, and other information for recordkeeping and communications purposes.
  • This includes: educational contact reporting, 4-H group enrollment and ES-237 reports, volunteer records, civil rights documentation, record retention procedures, 4-H record book tracking, inventory, and other program reports on a monthly, quarterly, and annual basis.
  • Data entry and analysis of statistical information on 4-H program activities and participants.
  • Maintain electronic files for the 4-H program.
  • Responsible for maintaining the 4-H Online database, and the member, volunteer, and stakeholder tracking system, including running reports, confirming records, and monitoring registrations.
