In this role, you will be responsible for: Answering incoming customer requests and inquiries in a professional & friendly manner Act as a liaison between customers, technicians, salespersons & management Schedule service and routine maintenance appointments Maintain & update customer records based on interactions Process invoice payments Provide information about products and services Troubleshoot and resolve customer issues and concerns Develop & maintain a knowledge base of the evolving products & services that benefit our customers Participate in in-house training on products & services needed by our customers& office software required to fulfill this position Additional duties as assigned. Check Service Tech Time Update time -discrepancies Update time -Lunch discrepancies Track GPS to be consistent with work order Invoices Dashboard Review and correct daily incoming completed Invoices Review and correct discrepancies with payments, Manage A/R Review for proper solution coding Review if follow up work order has been created Ensure if invoice have been emailed to customer Review invoices for any potential sale and give to manager Review if there is a warranty discrepancy and get with warranty department ·Manage Commercial Memberships Give manager any memberships expiring for review. Send renewal to customers. When sold create renewal or new membership in system Schedule seasonal maintenances with customers Order any necessary material needed for inspections. Dispatching technicians. Creating new calls for parts that may be needed for further installation and placing them on the parts managers’ side to be ordered. Call customer and note in system Page and dispatch technicians to proper locations for service calls. Taking payment for services rendered. Answering phones CSR calls Addressing customer’s questions, concerns and/ or trouble shooting customer discrepancies. Call customer if any updates on dispatch board request by Manager. Creating and implementing policies and procedures that help the commercial department. Represent ME FLOW Vision Assuring documentation is consistent Assuring customer satisfaction Building Ethical Empowerment Team Environment Keeping Managers informed of any process the needs an immediate attention. Assisting all Managers in projects as needed. Other duties as they are assigned. Serve as a backup to dispatch when needed Assist calling clients per geographical location for semi annual inspections.

Requirements

  • Minimum of 1-year administrative or customer service experience in an office setting is required
  • Knowledge in Microsoft Office is a required
  • Ability to easily cultivate strong rapport with customers and co-workers
  • Find it rewarding to organize, prioritize and manage time effectively to see a task through to completion
  • Work well independently & with integrity in a structured yet relaxed environment
  • Enjoy patiently, empathetically helping others
  • Excellent written and verbal communication skills
  • Perform work while sitting and/or standing at an individual work station or office
