About The Position

This position reports to the Assistant Collections Manager. This role requires someone who is enthusiastic about educating and assisting our members. The Collection Support Specialist will provide administrative and clerical assistance to the Collections unit, as well and members. The primary goal is to assist in minimizing loan losses for the credit union. This position will perform a variety of tasks to support the Collections Department. Excellent organization skills, attention to detail, flexibility, and willingness to perform a variety of support functions are vital to the successful execution of this position. Requirements

  • Education - High School Diploma. (60 college credits are preferred)
  • Minimum of 4 years of administrative support.
  • Minimum of 2 year of customer service experience.
  • Must have good communication and interpersonal skills.
  • Critical thinking and problem-solving skills.
  • Detail-oriented, and ability to multi-task.
  • Proficient in Microsoft Office and web-based applications.

Nice To Haves

  • Previous credit union experience is a preferred.
  • Demonstrated leadership and interpersonal abilities
  • Understanding of financial industry concepts, related laws, and regulations.

Responsibilities

  • Skilled in the operation of standard office equipment. Ability to utilize various computer software programs such as Outlook, Word, Excel, etc.
  • Performs clerical tasks as required including logging and routing incoming mail, typing, and preparation of outgoing mail.
  • Process journal vouchers submitted by department. Debits/credits member’s accounts.
  • Process requests for account research, skip tracing, payoffs, letter of guarantees, insurances, refunds, payments, credit disputes, bankruptcies, and settlements.
  • Process appropriate paperwork to pay vendor invoices. Research account disputes and billing discrepancies
  • Contact, email, and send letters to vendors/dealers for refund attempts.
  • Obtains and conveys information as needed to co-workers, members and outside vendors.
  • Submit legal files to the Credit Union's attorneys and corresponds with law offices and tracks progress.
  • Maintains the Credit Union's professional reputation.
  • Keeps management informed of area activities and of any significant problems.
  • Assists other area personnel as needed.
  • Attends and participates in meetings as required.
  • Completes special projects as assigned.
  • Ensures the proper maintenance, cleanliness, and security of work area, desks, equipment, etc.
  • Stays informed of changes in collections' policies, procedures, and related legal requirements.
  • Complies with all Bank Secrecy Act (BSA) rules and regulations. Attends annual BSA training.
  • Performs updates to credit bureau tools (e-Oscar) discrepancies.
  • Actively participates in and completes all ongoing required loan training and attends all scheduled meetings. Willingly adapts to changes in work environment. Participates in credit union self-development programs.
  • Prepare tracking reports for management review including repossessions, bankruptcies, recoveries, total loss, deceased, monthly delinquency, and back-end product refunds.
  • Maintains the filing and storage system, keeps shelves clean and orderly, files cases and documents into their proper locations. Maintain supplies by checking stock to determine inventory levels and anticipating requirements.
  • Ability to handle multiple tasks and work well under pressure.
  • Basic filing and record keeping.
  • Maintains records, logs, and schedules; prepares clear, concise and accurate reports as required.
  • Uses scanning software and scanner to scan documents in accordance to established rules and procedures.
  • Inspects the images for accuracy, completeness, clarity, and or defects.
  • Provides member service to those requesting information/ documents involving archived files/titles.
  • Removes and destroys records in accordance to established rules and policies.
  • Electronically records/searches for data in multi-application computer programs.
  • Ability to work independently.
  • Obtain certified copy of titles as needed.
  • Maintains strict confidentiality.
  • Complies with all Bank Secrecy Act (BSA) rules and regulations, in addition to Customer Identification Program (CIP). Attends required annual BSA training and required compliance training.
  • Other duties as assigned.
