About The Position

Within the spirit of “Making People’s Dreams Come True”, this position is responsible for facilitating a seamless home closing and relocation experience. This role supports The Villages Closing Department and Properties of The Villages Sales Representatives by coordinating and communicating closing details with all related partners including customers, Sales Representatives, Assistants, title companies, financial institutions, relocation partners, and movers. This position sets proper expectations from the time of contract signing through closing, and all relocation coordination for buyers who utilize those services. This role excels at delivering the best closing and relocation experience for our residents and is an integral part of the Closing Team. These duties are accomplished while delivering Raving Fans customer service to both internal and external customers.

Requirements

  • Associate degree (A. A.) or equivalent from a two (2) year college or technical school; or two (2) years related experience and/or training; or equivalent combination of education and experience. Experience or training in sales, guest services, hospitality, customer service or related field preferred.
  • Must possess a valid, active Florida real estate license.
  • This position requires strong interpersonal skills, enthusiasm for The Villages and all it has to offer, a desire to serve in a customer support role, strong sales drive, and the ability to problem solve to handle a variety of variables.
  • Must be able to communicate with customers orally confidently and effectively, in writing and electronically.
  • Computer and communication skills needed - along with the ability to multi-task, set priorities and manage time effectively.
  • Must be proficient in Outlook, functional in Excel and Word and navigating specific web sites.

Nice To Haves

  • Experience with CRM software a plus.

Responsibilities

  • Facilitate a smooth and seamless new and pre-owned home closing experience from contract to close, keeping the Sales Representative at the forefront of the customer relationship.
  • Communicate and coordinate closing details with all involved (ex: Customers, Representatives, Assistants, Relocation, Citizen’s Bank, Peninsula Land & Title, etc.).
  • Solicit, share, and confirm important closing details with the customers (ex: closing date, contract names, agent assignment, etc.).
  • Set proper closing experience expectations with the customers, answer questions, and share helpful information or connect them to proper destinations when applicable.
  • Give presentations on the helpful services found within The Villages (ex: Citizen’s First Bank, The Villages Health, The Villages Insurance, Hometown Property Management, etc.).
  • Executes a follow up plan that includes introductions, important milestone touchpoints and pre-closing preparation communication.
  • Make a warm and endorsing hand off to Peninsula Land & Title and the Closing Agent on day of close.
  • Coordinate Properties of The Villages Relocation Services. Research and maintain relationships with real estate partners throughout the country to connect with those looking to sell homes outside The Villages.
  • Discover all relevant details of the customer’s home to sell, finding the best agent matches to arrange comparative market analysis appointments.
  • Follow up with those partners and customers to ensure a good relationship is maintained. Communicate with Properties of The Villages representatives of progress.
  • Arrange moving services for customers relocating to The Villages, using the most appropriate moving company partner.
  • Use office computers, technology, and a host of other software applications, including Microsoft Office Suite, Customer Management Systems (Lasso and IBMi) and subsequent administrative management tools and equipment.
  • Assist leadership in on-going training of new team members – resulting in others shadowing and/or assisting you.
  • Attend meetings and continuing education opportunities to maintain learning and growth in your position, updating and maintaining work-related materials and information.
  • All other duties as assigned.
