About The Position

The Clinical Services Coordinator supports the mission of Life Flight Network by providing advanced administrative, operational, and data-driven coordination for clinical education and clinical operations functions across a multi-base air medical transport organization. This role has a strong emphasis on data management, reporting, credential and compliance tracking, and operational readiness. The Clinical Services Coordinator serves as a central point of coordination between Clinical Education, Clinical Leadership, Operations, Quality, Human Resources, and external partners. Responsibilities include maintaining accurate clinical and operational data, supporting regulatory and accreditation reporting, tracking clinician credentials and competencies, supporting new hire onboarding inputs, and ensuring reliable operational reporting to support informed decision-making.

Requirements

  • Associate’s degree or equivalent experience in healthcare administration, business administration, education, data management, or related field required
  • 2+ years of experience in healthcare operations, clinical administration, education coordination, or data/reporting-focused administrative roles required
  • Demonstrated experience with data entry, data validation, reporting tools, spreadsheets, dashboards, and learning or credentialing management systems required
  • Strong analytical skills with attention to detail and data accuracy
  • Advanced proficiency with Microsoft Excel, reporting tools, and enterprise systems; experience with LMS, credentialing platforms, or clinical tracking systems preferred
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced, regulated healthcare environment
  • Ability to handle confidential and sensitive information with discretion
  • Commitment to operational excellence, patient safety, and clinical compliance

Nice To Haves

  • Bachelor’s degree preferred.
  • Experience in air medical transport, EMS, hospital operations, or clinical education environments preferred
  • Familiarity with regulatory and accreditation requirements (CAMTS, state EMS offices, CE providers, HR onboarding standards) preferred

Responsibilities

  • Provide day-to-day operational and administrative support to Clinical Education and Clinical Operations leadership
  • Coordinate schedules, documentation, and communication related to clinical operations initiatives, training activities, and operational projects
  • Maintain departmental calendars, meeting materials, agendas, and action-item tracking
  • Assist with development, revision, and maintenance of clinical operations policies, procedures, workflows, and standard operating guidelines
  • Support budgeting, purchasing, and tracking of clinical education and operational resources
  • Collect, validate, and maintain clinical operations, training, and compliance data across multiple systems
  • Generate routine and ad hoc reports for clinical leadership, operations leadership, quality, and regulatory needs
  • Support dashboard development and ongoing monitoring of key clinical and operational metrics
  • Ensure data integrity, accuracy, and timeliness across reports and databases
  • Identify trends, gaps, and opportunities related to training completion, credential compliance, and operational readiness
  • Maintain accurate tracking of clinician credentials, certifications, licenses, competencies, and required training
  • Monitor expiration dates and compliance requirements and proactively communicate upcoming deadlines
  • Support audits and accreditation readiness by ensuring credentialing and training documentation is complete and current
  • Coordinate with HR, Clinical Education, and base leadership regarding credential status, remediation needs, and compliance follow-up
  • Support clinical new hire onboarding by entering, validating, and tracking required training, credentials, and documentation
  • Coordinate with HR and Clinical Education to ensure timely system access, training assignments, and compliance setup for new employees
  • Monitor onboarding progress and provide status reporting to leadership
  • Ensure onboarding data is accurately reflected across LMS, credentialing systems, and internal tracking tools
  • Serve as a key administrative user for learning management systems, credentialing platforms, scheduling tools, and clinical tracking systems
  • Maintain course assignments, completion records, and compliance reporting
  • Troubleshoot basic system issues and coordinate with IT or vendors for escalations
  • Ensure system data aligns with regulatory, accreditation, and organizational standards
  • Assist with preparation and maintenance of documentation for regulatory reviews, audits, and accreditation surveys
  • Support clinical education and operations leadership with data and documentation requests
  • Maintain organized electronic and physical records in accordance with retention and compliance requirements
  • Act as a liaison between Clinical Education, Clinical Operations, HR, Quality, Safety, and Operations teams
  • Communicate clearly and professionally with frontline clinicians, leaders, and external partners
  • Participate in departmental projects, committees, quality improvement initiatives, and special assignments
