About The Position

This in an administrative professional position in the Graduate Medical Education (GME) Department with the responsibility for coordinating multiple and concurrent projects/tasks related specifically as the Alabama College Of Osteopathic Medicine (ACOM) student site coordinator working closely with the GME Department and ACOM to meet the overall objectives of both. Requirements

  • Associates degree in Education, Healthcare Administration, or other personnel-related field (such as areas focused on managing people within an organization: Organizational Development, Human Resources, Recruiting, performance management).
  • 1-2 years of clinical healthcare or office administrative experience.
  • Valid, state-issued driver’s license.
  • In-depth personal knowledge of resources, and how best students can access them in order to maximize their clinical rotation experience.
  • Promotes positive relationships with preceptors and facilities.
  • Ability to assign rotations to provide optimal education benefits without showing personal preferences.
  • Familiarity with higher education processes and medical terminology.
  • Strong interpersonal skills, written and verbal communication, and creative problem-solving skills.
  • Ability to manage relationships between the employer and employees, addressing disputes, resolving grievances, and ensuring fair treatment.
  • Ability to work independently and within a team environment.
  • Ability to perform duties with a high degree of integrity, confidentiality, and adherence to professional ethical standards.
  • Excellent organizational, multitasking skills and high level of attention to detail.
  • Experience with spreadsheets, presentation software, database applications, and Microsoft Office Suite including audiovisual equipment.

Nice To Haves

Responsibilities

  • Provides support to students and acts as the students’ main point of contact regarding meeting academic curricular requirements during the third and fourth years of medical education.
  • Processes student applications for elective rotations with affiliated clinical training sites, primarily those in relation to ACOM core sites.
  • Create, maintain, and distribute student clinical rotation schedules.
  • Acts as a resource for medical students regarding departmental and institutional policies and procedures, responding to inquiries promptly and accurately.
  • Gathers, verifies, and maintains student credentials and documentation to ensure compliance with requirements for all clinical rotations, including core students at the Dothan site, as well as the entire current academic year's class for Rural Health Clinic and visiting ACOM student placements.
  • Coordinate and conduct multiple facility orientations for all students.
  • Ensuring all on-boarding requirements (to include N95 Fit Testing for Medical Students), site applications, and orientation procedures are complete for each site.
  • Ensures students are oriented with EPIC training sessions before completing any clinical rotations.
  • Provides facility access via Southeast Health identification badge for medical student lounge and sleep room access as needed for on-call rotations.
  • Assigns rotations to provide optimal education benefits.
  • Actively recruits new preceptors and completes preceptor credentialing process to be submitted to ACOM for approval.
  • Completes annual review of all credentialed preceptors with the Dothan core site to ensure updated documentation from physicians (Certificate of Insurance (COI), Curriculum Vitae (CV), Board Certification, etc.) are accurate for their reappointment or updates to preceptor as requested from ACOM.
  • Serves as liaison between faculty, preceptors, and students on a range of academic administrative and/or personnel issues pertaining to student clinical rotations.
  • Compiles monthly invoices for the Dothan core site, rural health clinic, and visiting students to submit to Regional Coordinator for approval and processing.
  • Proctors third year student end of core rotation Comprehensive Osteopathic Medical Achievement Test (COMAT) exams including once a year Comprehensive Osteopathic Medical Self-Assessment Examination (COMSAE) exams for students ensuring National Board of Osteopathic Medical Examiners (NBOME) proctor guidelines are maintained.
  • Audits students during third and fourth years to regularly ensure compliance in meeting credit requirements for graduation.
  • Participates in annual Core Site Connections, Clerkship Fair, and other events associated with ACOM or Southeast Health, as needed.
  • Obtain guest speakers, schedule meeting spaces, and provide notices to students for monthly student lectures.
  • Maintain student tracking system for participating in Morning Report and Noon Conference lectures with Residents.
  • Responsible for tracking student clinical evaluations from preceptors in a timely manner.
  • Identifies at-risk students, monitoring all faculty evaluations for patterns.
  • Communicating potential problems with Medical Education Director and Regional Coordinator to assist student and follow through with a resolution.
  • Understand the academic requirements and nuances of each individual student’s unique pathway to graduation and help guide each student to meet their long-term progress toward degree completion and match.
  • Provides student with assistance for Out of Network and/or audition rotations.
  • Subject matter expert on how to effectively create, access, and use reports within eValue and Castlebranch to ensure that all required documentation is in order for every student to complete.
  • Proactively contact students by email or phone when questions arise regarding scheduling strategies.
  • Develops strategies to improve processes within the department for benefit of students.
  • Creates and delivers presentations via PowerPoint or similar and disseminate information either in person or on remote platforms such as Zoom or Microsoft Teams.
  • Participates in Graduate Medical Education Committee (GMEC) Meetings.
  • Performs other duties as requested by primary manager that do not compromise moral code of conduct or protocols set in place for patient or employee safety.
