About The Position

Serving individuals since 2013, U.S. Care Behavioral Health would like to welcome you to our team to set the gold standard for group substance abuse treatment services. We are looking for a high-performing Admissions & Intake Coordinator to serve as the face of our program - someone who can navigate the complexities of DBHDS and DMAS regulations and insurance authorizations while providing a compassionate "first touch" for individuals in immediate need.

Requirements

  • At least 2 years in behavioral health admissions, specifically within the ASAM 2.1/2.5 framework.
  • Proficiency in EMR/EHR systems and CRM tools.
  • You must be able to "speak the language" of insurance MCOs and clinical therapists alike.
  • You are a "closer" who leads with empathy and integrity.
  • You understand that every minute matters when a person reaches out for help.

Nice To Haves

  • CSAC, CSAC-Supervisee, or CSAC-Assistant license in Virginia is highly preferred.

Responsibilities

  • Clinical Gatekeeping: Conduct initial telephonic screenings using the ASAM 6-Dimension criteria to ensure clinical appropriateness for our service levels of care.
  • Rapid Response: Manage the lead-to-admission pipeline with urgency, ensuring 100% follow-up on inquires within 2 hours.
  • Regulatory Compliance: Ensure all intake documentation meets Virginia DBHDS and DMAS standards. Coordinate with the clinical and operations teams to ensure all admissions documentation is completed on time every time.
  • Financial Navigation: Perform Verification of Benefits (VOB), confirm any external program authorizations and discharge dates, and clearly communicate status and responsibilities to prospective clients to ensure long-term retention and program profitability.
  • Strategic Growth: Update tracking systems and track and report weekly KPIs (inquiry volume, conversion rates, and referral sources) to the Leadership team.
