The Clinic Supervisor is responsible for the oversight of daily operations in assigned clinics, facilitating smooth clinic flow and communication, and ensuring compliance with policies and procedures. This role also involves assisting the Operations Manager with staff hiring, training, performance reviews, scheduling, and budget monitoring. Additionally, the supervisor will act as a back-up for photography, technician, and front desk duties as needed, and will lead meetings and prepare metrics.

  • College degree or continuing education courses desirable.

Responsibilities

  • Oversight of daily operations in assigned clinics.
  • Facilitates smooth clinic flow and communication between all departments.
  • Ensures compliance with existing policies and procedures and works with the Operations Manager to devise new policies and procedures.
  • Assist Operations Manager in hiring of clinical staff.
  • Perform competency administration and assist with training for all new hires and annual competencies for existing staff.
  • Examine and resolve complaints received from staff, visitors, patients, and physicians, in partnership with the Operations Manager.
  • Performs annual reviews alongside the Operations Manager.
  • Schedules staff and ensures coverage if absences on a daily basis with assigned region.
  • Approve staff PTO.
  • Approve staff timecards weekly.
  • Ensures the maintenance of a safe and functional clinic environment, including facilities, equipment, and supplies.
  • Weekly huddle with office leads and with the Operations Manager.
  • Participation in Operations meetings as needed.
  • Lead monthly location meetings and prepare metrics as assigned.
  • Works with Operations Manager to monitor assigned clinic budgets and resource management.
  • Performs OCT, FAF, Fluorescein Angiography, and Fundus Photography on a variety of devices (Back-up Photographer).
  • Maintain photography supplies, cameras, and equipment (Back-up Photographer).
  • Test patient’s far acuity, near acuity, peripheral vision, depth perception, visual field, and tonometry and enter into EMR (Back-up Technician).
  • Dilate eyes (Back-up Technician).
  • Room patients and assist doctor with numbing, rinsing, and procedure set up, and any other ophthalmic technician duties, as needed (Back-up Technician).
  • Check patients in (Back-up Front Desk).
  • Give forms to new patients (Back-up Front Desk).
  • Update histories on established patients (Back-up Front Desk).
  • Check out patients (Back-up Front Desk).
  • Make follow-up appointments (Back-up Front Desk).
  • Perform any other front desk duties, as needed (Back-up Front Desk).
  • Other duties as assigned by Operations Manager or physician.
  • Establish and administer clinic policies and oversee standard work.
  • Set goals for performance and deadlines in ways that comply with company’s plans and vision and communicate them to staff.
  • Organize workflow and ensure that employees understand their duties or delegated tasks.
  • Monitor employee productivity and provide constructive feedback and coaching.
  • Receive complaints and resolve problems.
  • Pass on information from upper management to employees and vice versa.
  • Train new employees.
  • Ensure adherence to legal and company policies and procedures and undertake disciplinary actions if the need arises.
