About The Position

The Department of Neurosurgery at the University of Iowa is seeking a Clinic Services Specialist to enhance the current revenue cycle structure both pre and post operatively through the educational and transparent engagement between this position as a Clinic Services Specialists and the Department of Neurosurgery care team. This position will provide daily administrative, clinical, and operational support. Responsibilities will provide operational support to the clinical team including faculty and staff. Will make decisions and exercise a high level of autonomy while performing responsibilities based in and around the revenue cycle. The Clinic Services Specialist within the Department of Neurosurgery at University of Iowa Health Care will be responsible for overseeing and assisting in the completion and submission of all surgical and radiology prior authorizations for Neurosurgery patients, monitor completion of FMLA and Disability documentation for our ambulatory and inpatient population, and serve as the Department chart control admin. Additionally, this position will gather and review patient information and demographics for accuracy. Other duties may include coordinating tests and obtaining patient records to maximize efficiency and clinical throughput. The Clinic Services Specialist will be responsible for providing efficient and effective clinical operational support to the department and serve as mentor, role model, and service excellence ambassador for staff, co-workers, patients and visitors. This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

Requirements

  • A Bachelors’ degree or an equivalent combination of education and experience is required.
  • 6 months – 1-year administrative experience
  • Ability to make decisions by identifying issues and communicating with others when a decision needs to be made.
  • Excellent written and verbal communication skills
  • Proficiency in computer spreadsheet and database applications
  • Experience in customer service

Nice To Haves

  • Experience with hospital operations and/or Ambulatory Clinic operations
  • Experience with the Epic system
  • Experience with chart control in an outpatient clinical setting
  • Experience with medical terminology
  • Knowledge of UI policies and procedures is desired

Responsibilities

  • Process and submit surgical and outside radiology prior authorizations for neurosurgery patient population
  • Process and submit FMLA and Disability documentation for patient population
  • Educate staff on policies and procedures regarding prior authorizations, FMLA, and chart control procedures
  • Audit standard reports to assure completeness and accuracy of information
  • Review and monitor chart control for efficiency and timely documentation
  • Work with Providers to assist in the management of Epic in-baskets to include staff messages, orders, patient reminders, patient scheduling, CRMs, patient advice requests, etc
  • Develop, implement, and consistently seek improvement in policies and procedures for all billing and reimbursement functions to ensure department activities are carried out professionally and ethically, patients are treated respectfully, and revenue is optimized
  • Assist in monitoring, reviewing, and routing of clinical documentation to ensure the physicians complete their documentation in a timely manner. This often requires follow-up with the physicians
  • Review of medical information in accordance with State and Federal laws, Hospital policies and regulations
  • Ensure departmental compliance with industry standards and regulation
  • Assist in processing and disseminating incoming patient paperwork including referrals, outside records, etc
  • Manage and ensure completion of all disability paperwork
  • Maintains the confidentiality of patient information including electronic data
  • Oversee and manage preauthorization for patient billing
  • Problem solves and is a resource to other Neurosurgery staff members
  • May assist outpatient clinic with check in/check out and scheduling as required
  • Maintain compliance with accrediting and regulatory agencies
  • Performs special projects and tasks as assigned
  • Contributes ideas and seek ways to improve assigned processes
  • Effectively communicate with patients, staff and clinic service areas
  • Provide a positive first impression to patients / caretakers and triage any concerns or requests to available staff or recommended services
  • Greet patients, families, and other caretakers at the time of check-in
  • Facilitate in the process of patient and clinic throughput
