About The Position

The Outpatient Scheduler is responsible for performing all duties and standards within this job description according to established policies, procedures, and guidelines. This role involves scheduling patient appointments, obtaining and updating patient demographic and insurance information, and managing telephone responsibilities. The scheduler must answer calls promptly and professionally, record appointment requests, handle cancellations, notify patients of schedule changes, and relay information to appropriate staff. The position requires a sense of responsibility, initiative, honesty, and the ability to follow directions accurately, function under pressure, and cooperate with others. Maintaining high ethical standards, organization, good communication, and computer skills are essential. The scheduler will also complete annual skills validation, maintain competencies and education, ensure a safe and neat work area, maintain current schedules, uphold patient rights and privacy, and assist with patient activities as assigned. They are expected to demonstrate responsibility for continuous improvement, practice quality service, maintain supplies, report malfunctioning equipment, and attend staff meetings. The role involves close collaboration with physician office staff to manage schedules and eliminate difficulties. Confidentiality, adherence to hospital dress code, safety policies, and participation in in-service education are also required. Requirements

  • High School graduate or equivalent.
  • Completion of orientation program.
  • Attend departmental in-services.
  • Physically and emotionally able to handle irregular hours and weekends with minimal absences.
  • Sufficient hearing and vision to carry out clerical duties.
  • Successful completion of a medical examination after offer of hire has been made.
  • Employee to be free of all unlawful substances and alcohol.
  • Possesses a sense of responsibility, initiative, and honesty.
  • Ability to follow directions accurately.
  • Ability to function under pressure and during emergencies.
  • Desire and ability to cooperate with others.
  • Maintains high ethical standards.

Responsibilities

  • Perform all duties and standards within this job description according to the established policies, procedures and guidelines outlined in the department and organization wide policy and procedure manuals.
  • Schedule patient appointments according to established protocols.
  • Obtain the necessary information for new patients and established patients.
  • Correctly enter/update patient information, including demographics and insurance.
  • Assume telephone responsibilities; answer telephone promptly and professionally using a pleasant voice.
  • Record request for appointments for new patients, follow-up patients, and cancellations.
  • Help notify patients of any time change due to cancellations or delay in schedule.
  • Relay information to appropriate staff members or physician promptly.
  • Keep staff informed of messages.
  • Complete annual skills validation, maintains competencies and education per Department/Hospital policy.
  • Maintain a safe and neat work area.
  • Maintain current schedules.
  • Maintain patient’s rights and privacy.
  • Assist with patient activities as assigned.
  • Demonstrate responsibility and accountability for continuous improvement.
  • Practice quality service as evidenced through QI results and patient satisfaction.
  • Maintain supplies and report malfunctioning equipment.
  • Attend 75% of staff meetings to maintain awareness of updated activities of the department and unit.
  • Organize all schedules.
  • Work closely with physician office staff to eliminate schedule difficulties.
  • Maintain confidentiality.
  • Follow hospital dress code.
  • Adhere to safety policies.
  • Work with health team members.
  • Participate in in-service education.
  • Interact with patients, visitors, and/or co-workers with compassion, dignity, and respect.
