Requirements

  • Clinic Operations Assistant Manager: HS Diploma or equivalent required, Bachelors degree preferred.
  • Experience managing preferred, priority for 3+ years experience.
  • Excellent interpersonal skills and written and verbal communication.
  • Organizational skills and intermediate computer skills required; experience with EHR is preferred.
  • A basic understanding of financial and accounting principles required.

Responsibilities

  • Create a positive clinic environment for patients and staff.
  • Support organizational strategies for operational excellence and policies outlined by CEO and Executive leadership.
  • Collaborate with clinic operations manager for staffing during planned and unplanned absences.
  • Participate in committees as assigned by Clinic Operations Manager.
  • Work with Clinic Operations Managers to create clinic appreciations, acknowledgement that improve the employees workplace .
  • Work the front office/back office as licensure allows and supports the needs of the clinic when Clinic Operations manager is onsite.
  • Follow the checklist of tasks to support the clinical needs during the absence of the Clinic Operations Manager.
  • Assist in the management of clinics budget to ensure financial viability of NEW Health.
  • Work with Clinic Operations Manager and provide backup support during planning and unplanned absences.
  • Report to Director of Operations the daily patient count, variances from budget, staffing variances and other factors impacting budget expectations.
  • Approves clinic ordering, ensures items are on NEW Health formulary, follows purchasing policy and reports any variations to Director of Operations .
  • Responsible for tracking clinic supplies, expired medications and preparing for return or disposal, reporting any budget impact or return/cost associated with supply.
  • Reconcile petty cash, submit daily deposits and report variations immediately to Director of Operations and CFO.
  • Ensure day-to-day clinical operations of all staff and services at clinic location.
  • Create staff schedules, monitor staff turnover (goal of <10%), create requisitions for vacancies, interview clinic staff positions with Director of Operations, negotiate salary and offer/reject applicants as assigned.
  • Participate and coordinate orientation and training of clinic personnel in collaboration with NEW Health University.
  • Create a requisition for ongoing staff training, evaluate training reports and create an improvement plan based on report.
  • Coordinate and/or participate in staff in-service training as directed.
  • Ensures proper utilization and supervision of assigned students/volunteers, report to HR required student paperwork in compliance with NEW Health standards.
  • Ensure clinical site is clean, organized and de-cluttered from lobby, front office workstations, clinic staff work areas and patient rooms. Presenting a safe and efficient space for patients and employees.
  • Daily review of E NewsRoom updates and communicate resources for NEW Health employees for Employee Handbook and policy education.
  • Responsible for meeting or exceeding assigned Key Performance Indicators.
  • Communicate QI dashboards to care teams during monthly site visits, discuss with clinical providers areas for improvement and barriers to achieving desired results. Report back to Director of Operations barriers and solutions for improvement.
  • Evaluates workflows and patient flow from check in to check out and report back to Director of Operations suggestions for improving patients experience as appropriate.
  • Report patient concerns to Corporate Compliance or Patient Services for issue resolution.
  • Ensure that all organization activities and operations are carried out in compliance with local, state, and federal regulations and laws governing business operations.
  • Ensure staff are in compliance with NEW Health Employee handbook and NEW Health policies,
  • Immediately report any violations or concerns to Corporate Compliance immediately.
  • Performs other duties as assigned.
