About The Position

The Clinic Front Desk Assistant position is the main reception (in person clients, emails, phone calls) for the clinic. The position handles maintenance of all animal records, intake processing, licensing, cash processing, data entry, patient post operative instructions and checkout. The position provides a high level of internal and external customer service and represents the organization.

Requirements

  • Reception experience required; high volume (50+ contacts per day) environment preferred.
  • Ability to communicate skillfully and effectively with diverse staff, volunteers, and community in a professional, pleasant, respectful, and courteous manner.
  • Ability to handle and assess potentially dangerous or fractious dogs and cats.
  • Ability to foster a cooperative work environment.
  • Cash handling skills.
  • Passion for the mission of Auburn Valley Humane Society.
  • Knowledge of and commitment to animal welfare issues.
  • Proficiency with Microsoft Windows and Office applications, especially Word, PowerPoint, and Excel.
  • Comfortable learning new systems, including online information systems and shelter software.
  • Experience with multi-line high volume telephone calls.
  • Individuals will frequently be required to speak publicly; stand, walk or sit for extended periods, reach, bend or stoop, regularly lift and carry up to 50 pounds.
  • Ability to pass a pre-employment drug screening and background check.

Nice To Haves

  • HQHVSN, veterinarian, animal emergency center, dentistry and/or shelter environment experience preferred.
  • Experience with shelter software (PetPoint) preferred.
  • Experience with scheduling software (not just calendar) preferred.
  • Experience with point-of-sale systems.

Responsibilities

  • To learn and follow AVHS’s policies and procedures and city, county and state requirements in regard to animal welfare.
  • To promote a positive image of AVHS through positive public relations.
  • To establish and maintain effective and cooperative working relationships with staff members, volunteers, and other departments.
  • To issue new pet licenses and renew existing pet licenses appropriately.
  • To complete licensing tracking, data entry, and licensing mailings in coordination with other agencies, vendors, and regulatory authorities.
  • To schedule surgical, wellness, and dentistry patients according to organizational policy.
  • To foster and promote positive relations with volume clients to include but not limited to conflict resolution, scheduling appointments and follow-up care.
  • To maintain proper records in-line with current standards of care and policy.
  • To support and promote Fear Free and similar animal handling practices within the clinic.
  • To perform other reasonable duties time to time, as assigned by the Clinic Director of Public Services.
  • To maintain a general working knowledge of other Clinic departments, all Society locations, functions, and their contribution to the organization as a whole.
  • Able to work flexible hours, which will include weekends and some evenings.
  • To remain current on daily communication and time sensitive issues.
