About The Position

The Clinic Coordinator supports daily clinical operations and care coordination, collaborating with healthcare providers, nursing team, and administrative staff to ensure high-quality patient care. This role involves coordinating unit communications, managing clerical clinic processes, and overseeing environmental activities within the clinic. Key responsibilities include assisting with office administration, patient-related communication, paperwork completion, and report maintenance. The coordinator reviews intake packets, assists with scoring and documenting questionnaire results, handles phone calls, schedules appointments, and processes faxes. They also assist in emergency situations, verify appointments during inclement weather, and contribute to patient care by efficiently rooming patients. The position requires managing patient loads, problem-solving scheduling issues, maintaining confidentiality, adhering to HIPAA guidelines, and assisting the clinical team with prior authorizations and pre-certifications for testing and services.

Requirements

  • High School Diploma or equivalent
  • BLS certification

Nice To Haves

  • Two years of medical office experience
  • Experience with electronic medical records

Responsibilities

  • Assists with office administration, patient related communication, completion of paperwork, and maintenance of reports and processes.
  • Reviews incoming intake packets.
  • Assists in the scoring and results documentation of incoming questionnaires.
  • Answers phones, assists in scheduling and rescheduling patient appointments, and processes incoming faxes.
  • Assists in emergency situations, initiating emergency calls and verifying appointments in inclement weather conditions.
  • Assists in the delivery of high-quality patient care through efficient rooming of patients.
  • Manages patient loads in an efficient manner and problem solves with scheduling and other time management matters.
  • Maintains confidentiality and adheres to HIPPA guidelines.
  • Assists clinical team in obtaining prior authorizations and pre-certifications for testing and services as indicated and documents appropriately.
