About The Position

The Clinic Coordinator (RN/LVN/MA) plays a pivotal role in ensuring the smooth and efficient operation of a healthcare clinic by managing administrative and operational tasks. This position serves as the central point of contact for patients, healthcare providers, and staff, facilitating communication and coordination across departments. The Clinic Coordinator is responsible for scheduling appointments, managing patient records, and overseeing clinic supplies and equipment to maintain a high standard of care. By implementing effective organizational systems and supporting clinical staff, the coordinator helps optimize patient flow and enhances the overall patient experience. Ultimately, this role contributes significantly to the clinic’s ability to deliver timely, quality healthcare services within a compliant and welcoming environment.

Requirements

  • High school diploma or equivalent.
  • Minimum of 2 years experience in a healthcare or clinical administrative role.
  • Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office Suite).
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent communication skills, both verbal and written, to interact effectively with diverse patient populations and healthcare teams.

Nice To Haves

  • Experience working in a multidisciplinary clinical environment.
  • Knowledge of medical terminology and healthcare compliance regulations such as HIPAA.
  • Familiarity with billing procedures and insurance claim processes.

Responsibilities

  • Manage daily clinic operations including appointment scheduling, patient check-ins, and follow-ups to ensure efficient patient flow.
  • Serve as the primary liaison between patients, healthcare providers, and administrative staff to facilitate clear and timely communication.
  • Maintain accurate and confidential patient records in compliance with healthcare regulations and clinic policies.
  • Coordinate clinic resources such as medical supplies, equipment maintenance, and staff schedules to support uninterrupted clinical services.
  • Assist in the implementation of clinic policies and procedures, ensuring adherence to regulatory standards and quality assurance protocols.
  • Support billing and insurance verification processes to facilitate smooth financial transactions and patient reimbursements.
  • Organize and lead regular staff meetings to address operational challenges and promote continuous improvement.
  • Develop monthly provider schedules and staff weekend schedules.
  • Interview for open positions and assist with staff yearly reviews.
  • Discuss and document any incidents, praises, verbal, or write ups with staff along with manager and create a plan to improve and re-evaluate.
  • Maintain provider compliance by ensuring prescriptive authority agreements remain current and up to date.
  • Develop and implement new protocols and documentation as needed, including updating EMR templates to ensure accuracy and efficiency.
  • Travel to all clinics for daily operations, managing manager meetings, and attending workshops.
  • Manage Marketing events and initiatives.
