The Client Services Representative assists sales representatives and clients to facilitate smooth and timely order processing. This position develops and maintains excellent working relationships with clients.
Portrays a positive company image and engages in professional and friendly communications with clients
Assists sales representatives and clients as needed regarding orders and requests via email, telephone, fax, and internet inquiries in a timely manner
Analyzes client and salesperson inquiries to determine appropriate product literature and pricing schedules; recommends price changes based on company/client relationship
Enters proposals/orders received for pricing into Team Design database software, reviewing for accuracy and ensuring complete information is provided
Obtains payment terms, credit application, deposit, and delivery/site information from clients
Coordinates regularly with various internal departments including obtaining installation quotes
Communicates with vendors, factories, and freight companies to check on order statuses and/or troubleshoots issues
Reviews orders on various reports and takes appropriate actions necessary to complete orders
As needed, acts as backup receptionist:
Answers incoming calls in a timely, efficient, and professional manner
Performs clerical functions such as typing of letters, faxes, spreadsheets, etc. when no other clerical support is available
Maintains customer confidence and protects operations by keeping information confidential
Maintains a safe and clean working environment by complying with policies, procedures, and regulations
Other duties as assigned
High school diploma or equivalent
3 months’ experience in a related role preferred
Proficient PC skills using MS Office and other computer programs
Excellent presentation, listening, verbal, and written communication skills
Ability to work independently and/or collaboratively within a team – willing to roll up your sleeves and help the team get work done
Ability to manage and organize time to meet objectives and deadlines
