The Client Services & Office Coordinator will have support from our Support team and resources available to help them grow into this exciting role at Baisch Engineering!

Responsibilities

  • Answering and directing incoming phone calls
  • Updating company documents and forms
  • Accurately enter and maintain information across multiple internal databases
  • Coordinate conference room schedules and various internal and external office meetings
  • Utilize Microsoft Word, Outlook, Access, Excel, Adobe, and Canva proficiently to support daily operations
  • Communicating via phone and email with employees, clients, and other external contacts
  • Operating the copier and other office equipment
  • Filing company records
  • Processing incoming and outgoing mail
  • Maintain a tidy, welcoming front office and conference rooms, ensuring spaces are always client-ready
  • Oversee day-to-day office operations, including coordination with building services and facilities needs
  • Manage and maintain company inventory of office supplies
  • Ensure compliance with engineering firm licensing requirements and related documentation
  • Maintain and update the company’s business contacts database and contact lists
  • Maintain the company sign-out log, serving as an internal reference for employee availability, work status, and locations
  • Perform additional administrative and operational duties to assist and support the Support team and all other teams within the company
