About The Position

Client Concierge / Mortgage Assistant Position Purpose: The Client Concierge / Mortgage Assistant serves as both the first point of contact for clients visiting the mortgage floor and a key support resource for the Retail Mortgage team. This role blends front-of-house client experience responsibilities with mortgage assistant functions to ensure smooth daily operations, exceptional service, and responsive support during periods of increased loan volume. This position will be stepping in to provide hands-on assistance in retail mortgage operations when volume spikes, similar to the support provided by experienced Mortgage Assistants Qualities of a successful candidate include: Prior administrative, customer service, or banking experience preferred. Mortgage or lending experience is helpful but not required. Strong customer service skills with a professional demeanor Ability to multitask and shift priorities in a fast-paced environment Attention to detail and strong organizational skills General computer proficiency and ability to learn bank systems and software Clear verbal and written communication skills Trustworthy with the ability to maintain a high level of confidentiality Enjoys working with both customers and team members

Requirements

Prior administrative, customer service, or banking experience preferred.
Strong customer service skills with a professional demeanor

Responsibilities

First impression of the mortgage floor, greeting clients and visitors in a professional, friendly, and welcoming manner
Answer and direct incoming calls, questions, and walk-in inquiries
Maintain a professional, organized, and client-ready reception and common area
Ensure a positive first impression that reflects Plains Commerce Bank’s service standards
Provide administrative and operational support to Mortgage Bankers and the Retail Mortgage team
Prepare, copy, scan, and organize loan documentation into the master loan file
Research loan-related items such as permit statuses or missing documentation as directed
Assist with database clean-up and file maintenance
Prepare customer correspondence, including closing letters and thank-you communications
Maintain strict confidentiality and comply with all privacy, security, and compliance requirements
During periods of increased loan volume, step in to assist with retail mortgage processing and support tasks, as assigned
Provide backup assistance similar to existing Mortgage Assistant roles to ensure timely processing and customer service
Adapt daily priorities based on workflow demands and team needs
Deliver consistent, high-quality service to both customers and internal partners
Communicate professionally and effectively with customers, coworkers, and leadership
Perform additional duties as assigned to support team capacity, ensure operational flexibility, and maintain our position as the local leader in client experience
