About The Position

The Client Care Coordinator is responsible for managing and coordinating evaluations, referrals, and communications for clients seeking virtual/hybrid behavioral health services. This role ensures efficient and effective scheduling processes to enhance patient access to care, optimize the use of provider time and maintain a high level of customer service.

Responsibilities

  • Manage and monitor provider caseloads to ensure balanced distribution, timely access to care, and sustained growth in client encounters.
  • Coordinate and track all incoming client referrals, ensuring clear communication and seamless transitions into care.
  • Facilitate accurate and complete client onboarding, including collection and verification of demographics and active insurance coverage.
  • Schedule referred clients promptly, ensuring alignment with clinical needs and provider availability.
  • Gather and review client clinical background information to support appropriate care placement and continuity.
  • Verify insurance benefits and secure prior authorizations in compliance with payer requirements.
  • Maintain thorough, accurate, and timely documentation of all client interactions, referrals, and scheduling updates.
  • Guide clients through the referral and intake process, setting clear expectations and promoting a positive experience.
  • Ensure all referrals are addressed within established timelines and follow up proactively to prevent delays in care.
  • Partner with the Clinical Director to support quality of care initiatives and improve client satisfaction.
  • Provide administrative support, including medical records coordination, document handling, and general office tasks.
  • Contribute to team objectives and organizational success through flexibility and completion of additional assigned duties.
