Requirements

  • High School Diploma or GED required.
  • Strong knowledge of scheduling principles, organizational methods, and office procedures.
  • Proficient with computers, phones, and other office equipment.
  • Effective communication skills and the ability to maintain confidentiality.
  • Valid driver’s license and proper auto insurance.

Nice To Haves

  • 3-5 years of scheduling experience preferred.
  • 1-2 years of home care experience preferred.

Responsibilities

  • Coordinate scheduling by communicating consistently with field staff, clients, and caregivers to ensure accurate and timely visit assignments.
  • Build and maintain strong working relationships with clinicians and clients to support smooth day-to-day operations and continuity of care.
  • Ensure all physician-ordered visits (including recertifications, skilled nursing visits, therapy visits, and other required services) are scheduled, staffed, and completed within required timeframes.
  • Maintain and update employee and client calendars daily within the agency’s electronic database to ensure all shifts and visits are properly assigned and documented.
  • Respond professionally and promptly to scheduling inquiries from staff, clients, physicians’ offices, and external partners.
  • Run and review daily scheduling and compliance reports, following up with field staff to address missed visits, pending orders, or staffing gaps.
  • Support coordination of care by proactively identifying scheduling conflicts and assisting with solutions to ensure uninterrupted service delivery.
