About The Position

The Catering and Events Manager will take over client engagement from the Sales Manager or Director of Sales, working as the main contact internally and externally through the event's completion. They will work with the client and Executive Chef on the selection of food and beverage and with the banquet supervisor/ captain regarding meeting room set-up, and execution of the event(s). They will be responsible for producing the banquet event orders and communication with all departments that are impacted by any needs of the client. Attend and participate in weekly Sales and Banquet Event meetings. Promptly handle all inquiries, follow up, and provide thorough and complete contracts to clients in a timely manner. Develops relationships within the community to strengthen and expand customer base for catering and meeting space opportunities. Proactively sell the hotel’s meeting space and catering offerings to achieve or exceed monthly catering/events personal productivity goals. Utilize knowledge of the hotel facilities and external resources to effectively maximize ancillary banquet revenue opportunities. May assist in coordinating and conducting hotel site inspections with perspective clients in the absence of the Dir. Of Sales or Sales Manager. Collaborate with Executive Chef in the creation of unique and innovative menu offerings. Develop personalized menus to meet client expectations or needs, as necessary. Coordinate with banquet department to ensure seamless pre-event planning and execution. Communicate event details with all departments in the hotel via detailed banquet event orders, group resumes, and pre-convention/group meetings. Ensure proper administration of all group room blocks to include building room blocks, creating booking links, entering group rooming lists, monitoring room block pick up, and closing blocks according to contract guidelines. Ensure all lead and revenue tracking systems are utilized and updated daily to reflect activity taken on leads or any proactive efforts. Ensure the Sales calendar is kept current. Collaborate with outside vendors to ensure client satisfaction for all events/groups. Act as the point of contact for all billing inquiries and payment collection for all groups or events. Process any commissions at conclusion program or event. Ensure all amenities requests are communicated and executed. Respond to all requests for group reservations in the timely manner Handle all inquiries on group reservations Holds pre/post-com meetings with clients. Provide feedback to appropriate departments for recognition or resolution. Maintain positive client relationship through on-going communication after event/group function. Other duties as assigned by Management Requirements

Requirements

  • Bachelor’s degree in business, marketing, or relevant discipline desired
  • Previous experience in hotel sales manager, food and beverage or banquets required
  • Outstanding communication and interpersonal skills
  • Proficient in MS Office suite and related software
  • Valid drivers’ license and a driving record that meets the company’s insurance requirements
  • Ability to run errands to obtain supplies for functions
  • Ability to use a computer for extended periods of time, either seated or standing
  • Ability to communicate both verbally and in writing
  • Excellent time management and organization skills
  • Ability to occasionally lift and move up to 35 lbs
  • Ability to maintain flexible / extended work hours as needed by job demand and functions
