This role offers free parking, a complimentary shift meal, and a strong work-life balance (the museum is closed most Mondays). You will serve as the lead vendor coordinator and primary liaison between clients, catering teams, and museum staff to ensure seamless event execution.

Requirements

  • Experience: 3+ years in event coordination, catering, hospitality, or venue management.
  • Expertise: Proven track record in vendor management and executing complex event logistics.
  • Skills: Exceptional organization, multitasking, and professional written/verbal communication.
  • Technical: Proficiency in CRM/event management software and the ability to create basic floor plans.
  • Availability: Flexible schedule required, including evenings, weekends, and holidays.
  • Ability to stand/walk for extended periods and lift up to 25 pounds.
  • Work is performed on-site in an active museum environment with varying noise and activity levels.

Responsibilities

  • Logistics & Planning: Manage event timelines, event orders, floor plans, and tastings.
  • Vendor Coordination: Lead all vendor relationships, including florists, musicians, photographers, and equipment providers.
  • On-Site Oversight: Supervise setup, service, and breakdown; troubleshoot and resolve issues in real time.
  • Compliance: Enforce museum security, conservation guidelines, and event restrictions to protect the collection and guest experience.
  • Staff Supervision: Direct event staff and external vendors during active functions.
  • Administration: Maintain accurate records, including contracts, invoices, and event documentation.
  • Strategic Support: Partner with the Director of Events and Catering Director for on-site support, sales efforts, and upselling.
