About The Position

The Catering Coordinator is responsible for for providing administrative support to the Catering team while being familiar with all aspects of the catering services planning process.

Requirements

  • Prior administrative experience, preferably in a luxury hotel or resort.
  • Excellent personal presentation and interpersonal skills.
  • Ability to handle a large volume of telephone calls in an efficient and courteous manner.
  • Strong time management skills: ability to multi-task, set priorities, and adjust to changing conditions.
  • Willing to work in a fast-paced environment.
  • Ability to operate all computer equipment necessary to perform the job; knowledge of Microsoft Office Suite, Delphi, Opera, and Salesforce preferred/is a plus.
  • Excellent communication and interpersonal skills; ability to work closely with other departments and communicate clearly and effectively with colleagues and guests.
  • Excellent communication in both English and Spanish language required

Responsibilities

  • Receive and respond to incoming telephone calls in accordance with Four Seasons Standards.
  • Prepare accurate written correspondence including letters, contracts, proposals, reports, Banquet Event Orders (BEO), schedule of events, printed menus, and e-mails.
  • Maintain information systems, which include but are not limited to menu input, average check update, BEO, merge document templates, assigning inquiries in different platforms.
  • Run and distribute daily, weekly, and monthly reports as required by the Catering & Conference Services team.
  • Support managers by coordinating site inspections, menu tastings, and internal communication with operational departments.
  • Assist clients in the absence of a Catering or Conference Services Manager, providing prompt, professional, and solution-oriented service.
  • Ensure event spaces and collateral are presentation-ready, reflecting luxury brand standards.
  • Communicate effectively with Banquets, Culinary, Rooms, and other operational teams to relay client needs and special requests.
  • Provide general administrative support and perform the duties of other team coordinators when required.
