The Student Conduct Case Manager provides comprehensive case management and operational support for Student Conduct and Academic Integrity in the Office of the Dean of Students, ensuring the accurate, timely, and confidential administration of student disciplinary processes. This role serves as a centralized coordinator for case intake, records, appeals, and hearings; facilitates clear and professional communication with students and campus stakeholders; and supports the effective functioning of the Student Conduct team and the Office of the Dean of Students by upholding institutional processes, compliance requirements, and records retention standards.

Requirements

  • Bachelor’s degree
  • Experience in administrative case management, higher education, student services, or a compliance‑focused office
  • Demonstrated ability to manage sensitive and confidential information with discretion
  • Strong organizational skills and attention to detail, with the ability to track cases, records, and deadlines
  • Professional written and verbal communication skills
  • Ability to prioritize and manage multiple tasks in a fast‑paced environment
  • Proficiency with electronic databases, case management systems, and standard office software

Nice To Haves

  • Experience working in a Student Conduct, Academic Integrity, Dean of Students, or similar office
  • Familiarity with Maxient or another student conduct case management system
  • Experience supporting appeals, hearings, or formal administrative processes
  • Knowledge of records management, open records requests, or records retention requirements in a higher‑education or public institution setting

Responsibilities

  • Manage intake of conduct cases, including outreach to reporting parties, follow-up with involved parties, and dismissing cases where necessary.
  • Oversee student discipline case management system (Maxient), including processing and prioritizing intake and referrals submitted to student conduct.
  • Coordinate communication relating to the creation of disciplinary records and monitoring case activity records.
  • Manage enrollment holds for Student Conduct and other administrative units as requested.
  • Coordinate and track Appeals to Appellate Officers.
  • Compile case data, review and send appeal response memoranda and track deadlines for appeal responses.
  • Provide support to student conduct staff and stakeholder to include assisting with their completion of cases, reviewing and coordinating responses relating to official correspondence, and overseeing post adjudication notifications.
  • Coordinate logistics for all cases going to a university hearing, including polling hearing officers, notifying stakeholders and students, scheduling zoom invite, and ensuring proper dissemination of hearing evidence and integrity of hearing record.
  • Monitor/answer Student Conduct phone line and email.
  • Forwarding communications to appropriate conduct administrators and stakeholders when necessary.
  • Determine trends from student and stakeholder communication to create and implement resources to educate the community on the conduct process.
  • Responsible for records management including, but not limited to, processing requests for student record checks, case document requests, open records requests and subpoenas, managing files according to UT Records Retention guidelines, including annual purge of records and appropriate disposal.
  • Serve as the back-up administrator responsible for completing Open Records Requests for the Office of the Dean of Students.
