Requirements

  • High School Diploma
  • Must have two years of clerical experience in an office environment, preferably in a job-related field.
  • May have an equivalent combination of education and experience to substitute for the experience requirements.
  • Must be able to demonstrate ability to use independent judgment in resolving issues within established guidelines.
  • Must be able to type.
  • Must be able to utilize required software for assigned department.
  • Must be able to communicate effectively with patients, visitors and hospital staff.

Nice To Haves

  • May be required to maintain Notary Public certification.

Responsibilities

  • Receives, classifies, reconciles, consolidates and/or summarizes documents and information ensuring accuracy.
  • Assures thorough and complete control procedures in order to maintain accurate records of documents processed.
  • Compiles regular and special reports in accordance with established formats and procedures.
  • Types forms, correspondence and reports.
  • Answers telephones, takes messages, routes calls and provides routine information to callers.
  • Greets visitors, receives information, determines best of course of action for responding to information, and provides information.
  • Serves as a lead worker with regard to assisting with hiring, training, scheduling and evaluating staff to ensure maximum utilization of individual and group capabilities, while providing optimal customer service.
  • Identifies ways to improve work processes and improve customer satisfaction.
  • Makes recommendations to supervisor, implements and monitors results as appropriate in support of the overall goals of the department and PHHS.
  • Stays abreast of changes to departmental or hospital procedures or to ensure quality service is provided.
  • Attends in-house seminars, reads internal publications, and integrates knowledge gained into current work practices.
  • Maintains a positive working relationship with co-workers, other employees, and visitors to ensure efficient work processes.
  • Maintains knowledge of applicable rules, regulations, policies, laws, and guidelines that impact the Clerical area.
  • Develops effective internal controls that promote adherence to applicable state/federal laws, and the program requirements of accreditation agencies and federal, state, and private health plans.
  • Seeks advice and guidance as necessary to ensure proper understanding.
  • Stays abreast of the latest developments, advancements, and trends in the field by attending seminars/workshops, reading professional journals, actively participating in professional organizations, and/or maintaining certification or licensure.
