The Opportunity: HKA’s Chicago office is seeking a Business Support Administrator to keep our operations and office running seamlessly. You’ll provide executive support, manage calendars and travel, coordinate meetings, and handle office logistics—from supplies and vendor relations to event planning. If you’re organized, detail-oriented, and thrive in a fast-paced environment, this role offers the chance to make an immediate impact.

Requirements

  • 2+ Years of experience in Business Support, Office Management, Executive Administration or other Administration roles.
  • Ability to work on-site in the Chicago office 4–5 days per week
  • Proven experience delivering exceptional customer service directly with clients, vendors, and internal stakeholders.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Outstanding communication and interpersonal skills
  • Excellent time management and ability to prioritize multiple tasks
  • Highly organized with strong attention to detail

Responsibilities

  • Provide administrative support for multiple executives, including:
  • Time and expense entry
  • Calendar management
  • Complex business travel arrangements
  • Meeting coordination
  • Project support (binder preparation, document preparation, scan/copy/print jobs)
  • Project administration (engagement letters, conflict check forms)
  • Maintain professional office appearance (kitchen, conference rooms, communal spaces)
  • Manage shipping and receiving (FedEx, UPS, US Mail)
  • Assist with office meeting planning and event coordination, including ordering lunches
  • Coordinate local employee and client events
  • Order, maintain, and organize office supplies
  • Liaise with building management and local vendors
  • Manage off-site storage and visitor management
  • Support local recruiting coordination and employee onboarding
  • Partner with team members on client invoicing, CRM maintenance, and system updates
  • Assist colleagues in Chicago and other offices with administrative tasks as needed
  • Perform other tasks as requested
