About The Position

Oversees, plans and coordinates administrative and management services work to include various operational areas related to budget, accounting, legislative analysis, office support services to include equipment, facilities, purchasing and contract administration. Work requires contact with governmental agencies and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

Requirements

  • Education: Bachelor's Degree in Accounting or Business Administration related field. Relevant work experience may be substituted for degree on a year per year basis. Substitutions for Minimum Qualifications
  • Experience: Business Services Coordinator I: 4 years management, business operations and administration and/or staff support functions. Experience: Business Services Coordinator II: 5 years management, business operations and administration and/or staff support functions. (Experience can be satisfied by full time or prorated part time equivalent). Related graduate level education may be substituted for experience on a year per year basis.
  • Licenses and Certifications: Valid driver’s license. This position requires driving a state vehicle.
  • Extensive Knowledge of Office management practices and procedures
  • Extensive Knowledge of Budgeting methods and procedures
  • Extensive Knowledge of Applicable laws, rules, and regulations
  • Considerable Knowledge of Purchasing methods and procedures
  • Considerable Knowledge of The Texas Public Information Act
  • Expert skill in Analyzing and organizing business and technical data
  • Expert skill in Analyzing issues, facts, and available information to develop logical solutions; researching inconsistencies of facts or data; drawing correct inferences from information and making recommendations that support business decisions
  • Proficient skill in Establishing plans and setting objectives and goals that support overall business strategy/results; anticipating and adjusting for problems/roadblocks
  • Proficient skill in Monitoring the status and progress of projects
  • Collaborates and cooperates with others and builds effective working relationships with internal and external members to accomplish organizational goals.
  • Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
  • Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading

Responsibilities

  • Coordinates and monitors contract administration, asset management and related programs.
  • Plans district budget needs utilizing program analysis.
  • Forecasts short and long-term projections including support from multiple funding sources and confers with staff to recommend priorities and future goal planning.
  • Coordinates administrative services for asset management, central files, facilities, grounds and open records request program.
  • Implements and interprets administrative policies and procedures.
  • Responsible for proper administration and disposition of district/division records.
  • Performs other job responsibilities as assigned.
