Overall Purpose The Sr. Project Coordinator provides comprehensive administrative, operational, and coordination support to the Head of Corporate Strategy and the Head of Internal Communications, as well as the Corporate Strategy, Enterprise Change, and Operational Excellence teams. He or she ensures the effective execution of business initiatives and day-to-day operations. This role manages complex scheduling, high-visibility meetings, board preparation activities, and enterprise collaboration resources while supporting internal communications and cross-functional coordination. The Business Operations Manager exercises sound judgment, proactively anticipates needs, maintains strict confidentiality, and supports the organization’s operational, risk management, security, and service standards.

Requirements

  • Bachelor’s degree from an accredited college or university
  • More than ten (10) years of experience providing business operations, administrative, office, or project coordination support
  • Background in financial services, consulting, and or payment firms
  • Proficiency with Microsoft Outlook and strong working knowledge of Microsoft Word, Excel, and PowerPoint
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately
  • Strong interpersonal and communication skills with the ability to interact effectively with all levels of personnel
  • Exceptional organizational skills with a high level of attention to detail
  • Strong written and verbal communication skills, including the ability to edit and proofread documents
  • Proven ability to manage multiple tasks and shifting priorities while maintaining a high degree of accuracy
  • Successful completion of background and drug screening

Responsibilities

  • Provide high-level administrative and operational support to executives by anticipating needs and proactively executing support functions with a high degree of accuracy, discretion, and efficiency
  • Manage executive, enterprise, and team calendars, including complex scheduling, prioritization of meetings as well as coordinating end-to-end logistics for Strategy team offsites and other high-visibility meetings
  • Help coordinate, schedule, and book travel arrangements and accommodations for executives, manage after trip expense management for reimbursement
  • Schedule and manage Board meeting preparation sessions across senior leadership, including maintaining and uploading materials in BoardVantage
  • Identify and proactively address opportunities to improve operational effectiveness while supporting special projects and initiatives through tracking deliverables, preparing documentation, and following up on action items
  • Track and manage vendor and travel expenditures, supporting budget visibility, reconciliation, and reporting against established trackers
  • Prepare executive-ready readouts (narratives, analysis, options, and recommendations), drive alignment on priorities and tradeoffs, and act as a force multiplier for leaders by tightening execution and reducing noise.
  • Coordinate execution of non-disclosure agreements (NDAs) and required documentation for external partners, including meeting logistics and visitor access
  • Maintain team and enterprise collaboration resources, including Microsoft Teams channels, SharePoint sites, document retention practices, and holiday schedules
  • Handle sensitive and confidential information and support the company’s commitment to risk management and protecting the integrity and confidentiality of systems and data
  • Serve as a culture champion by partnering with leadership to uphold company traditions and values while identifying new opportunities to foster a positive and inclusive office environment
