About The Position

Falcon Wealth Planning is seeking a strategic and execution-driven Operations Executive to lead firm-wide operational infrastructure, systems optimization, and team development. This role is responsible for building scalable processes, strengthening internal controls, driving efficiency, and developing high-performing operational teams to support continued firm growth. The Operations Executive partners closely with executive leadership to align operational strategy with business objectives while maintaining the highest standards of service, compliance, and fiduciary integrity.

Requirements

  • 8+ years of operational leadership experience, preferably within an RIA or financial services firm
  • Proven experience building scalable systems and improving operational efficiency
  • Strong background in CRM, portfolio systems, and workflow automation
  • Demonstrated success leading and developing teams
  • Deep understanding of fiduciary standards and client service operations
  • Strong analytical, organizational, and leadership skills
  • Ability to operate strategically while remaining hands-on when needed

Responsibilities

  • Operational Strategy & Infrastructure
  • Design and implement scalable operational systems to support firm growth
  • Evaluate and optimize workflows across planning, trading, service, and business development teams
  • Identify inefficiencies and implement automation and process improvements
  • Establish operational KPIs and reporting dashboards
  • Lead cross-functional initiatives to improve client experience and internal productivity
  • Systems & Technology Oversight
  • Oversee CRM, portfolio management, custodial integrations, and operational platforms
  • Ensure systems are leveraged effectively and consistently across teams
  • Partner with vendors to enhance functionality and integration
  • Lead system implementation projects and upgrades
  • Ensure data integrity, security, and process standardization
  • Team Leadership & Staff Development
  • Lead, coach, and develop operations managers and team members
  • Establish performance standards, accountability frameworks, and development pathways
  • Conduct performance reviews and succession planning
  • Foster a high-performance, ownership-driven culture
  • Identify talent gaps and support recruiting efforts
  • Risk Management & Compliance Partnership
  • Maintain strong internal controls and operational safeguards
  • Partner with compliance to ensure policies are executed consistently
  • Oversee documentation standards and audit readiness
  • Mitigate operational risk through structured process management
  • Executive Collaboration
  • Serve as a strategic partner to the CEO and executive team
  • Provide insights on capacity planning, operational scalability, and resource allocation
  • Participate in strategic planning and firm growth initiatives
  • Align operational execution with revenue and client service goals
