About The Position

In the Office of Student Financial Services, the primary responsibility of the Business Manager II is to support the business functions of Student Financial Services, which includes the offices of Financial Aid, Student Accounts, and the Student Financial Management Center. The Business Manager II is required to understand all three functions with respect to financial administration, human resources processing and office administration to make sure utilizing of limited resources in the most efficient manner. This position would be responsible for purchasing, expense management, and budget processing to ensure efficient use of financial resources.

Requirements

  • Three years of business management related experience
  • Two-three years of professional higher education work experience
  • Strong knowledge of standard office and business software (e.g. Microsoft Excel, Word, PowerPoint)

Responsibilities

  • Manage the day‑to‑day administrative operations of the department across six campuses, ensuring consistent service delivery and workflow coordination.
  • Advise unit managers on operational and procedural issues, providing guidance to support effective decision‑making.
  • Collaborate with staff and administrators under the AVP for Student Financial Services, as well as other administrative units, to resolve inquiries and operational issues.
  • Coordinate closely with IIT technical staff, external vendors, Facilities, and Budget Services to troubleshoot and resolve system, facilities, and operational concerns.
  • Assist in the development, implementation, and improvement of administrative procedures and processes to enhance departmental efficiency.
  • Support planning, coordination, and execution of departmental meetings, events, and special projects.
  • Contribute to the creation of departmental newsletters and maintain Student Financial Services’ SharePoint sites, ensuring accurate and up‑to‑date communication resources.
  • Assist in developing and facilitating policies and procedures, serving as a liaison between Student Financial Services and other administrative departments.
  • Work closely with the Business Manager III to support financial, administrative, and operational functions.
  • Manage the financial affairs of Student Financial Services by monitoring departmental expenditures, tracking funding sources, and advising leadership on financial matters.
  • Prepare the annual operational budget with input from the Business Manager III and the AVP for Student Financial Services, ensuring accurate projections for the Student Financial Management Center, Financial Aid, and Student Accounts.
  • Continuously monitor expenditures to identify potential budget shortages or additional funding needs and assist leadership with financial forecasting.
  • Keep the Business Manager III, AVP of Student Financial Services, and the Assistant Vice President of Financial Operations & Administration informed of financial performance through detailed expenditure reports and budget updates.
  • Submit budget amendment requests as needed to align resources with operational demands.
  • Review and approve departmental expenditures using university financial systems (Spectrum and Panther Mart) for Financial Aid, Student Accounts, and the Student Financial Management Center.
  • Conduct bi‑weekly and monthly reviews of departmental budgets to disencumber unused funds and ensure financial accuracy and accountability.
  • Initiate/renew and process departmental contract prior to annual expiration.
  • Serve as the primary HR liaison for the Business Manager III and Human Resource Coordinator, ensuring smooth coordination of HR activities across the department.
  • Coordinate the full HR process, including creation and modification of position descriptions, recruitment, staff training, corrective action, conflict resolution, and termination for both staff and student employees.
  • Maintain a strong working knowledge of campus HR policies, procedures, employment guidelines, and professional development opportunities.
  • Develop and maintain materials for policy and procedure manuals, as well as training documents, to ensure consistent communication of departmental standards and practices.
  • Assist the departmental leadership team with scheduling interviews, preparing interview packets, and managing logistics for candidate visits.
  • Submit requests to post open positions, prepare and route interview documentation, hire documents, and on-boarding materials for hiring managers.
  • Maintain the departmental organizational chart to reflect current staffing and reporting structures.
  • Coordinate with departmental staff to prepare and complete travel authorizations, travel expense statements, and required supporting documentation in accordance with university travel policies.
  • Process registration fees, hotel invoices, and other travel‑related payments to ensure timely and accurate reconciliation.
  • Arrange travel logistics for departmental employees—including transportation, lodging, registration, and itinerary coordination—to support efficient and compliant travel planning.
  • Submit all required travel and reimbursement documents through the appropriate university systems to ensure prompt processing and reimbursement.
  • Assist with adding and removing Graduate Assistant Waivers when applicable.
