Requirements

  • Bachelor’s degree preferred; Paralegal certification strongly preferred.
  • 3-7 years of paralegal or legal support experience, ideally within an in-house environment, business affairs team, or small-to-mid-size company.
  • Experience with contracts and organizational recordkeeping required.
  • Experience with supporting an executive or senior level leader highly desirable.
  • Exceptional organizational skills with ability to structure, prioritize, and track multiple tasks and deadlines simultaneously.
  • Strong attention to detail and ability to maintain accuracy across documents and records.
  • Excellent written and verbal communication skills.
  • Highly proficient in Microsoft Office (Word, Excel, Outlook), Adobe, and document management systems.
  • Ability to work independently while remain collaborative and adaptable within a family-business environment.
  • High level of integrity and professionalism, with the ability to handle confidential information responsibly.
  • May sit for long periods of time.
  • Visual acuity to perform reading and computer functions.
  • May lift or carry up to 25 pounds.

Responsibilities

  • Draft, review, edit, and organize a variety of agreements, including vendor contracts, purchase and supply agreements, independent contractor agreements, NDAs, and service contracts.
  • Assist internal stakeholders in clarifying terms and ensuring that agreements align with company needs and risk requirements.
  • Track contract deadlines, renewals, milestones, and requirements using organized system and reminders.
  • Maintain contract templates, clause libraries, and internal processes.
  • Maintain organized and accurate records, including resolutions, meeting notes, documents, and business licenses.
  • Assist with filing requirements, business registrations, updates, and keeping documents easily accessible and audit ready.
  • Support grant-related funding requirements by tracking reporting deadlines, documentation, and compliance obligations.
  • Source and communicate with outside counsel and conduct case research.
  • Provide administrative support to the VP of Business Affairs, including scheduling, meeting preparation, follow-up tasks, and document creation.
  • Organize and maintain both electronic and physical filing systems, ensuring documents are logically structured, easy to retrieve, and kept confidential.
  • Prepare reports, summaries, checklists, and reference documents to support the business and cross-departmental projects.
  • Assist with preparing presentations, binders, meeting packets, and briefing materials for internal and external audiences.
  • Support special projects, internal audits, and process-improvement initiatives as assigned.
  • Conduct legal and factual research involving contract standards, terms, conditions, insurance requirements, and grant obligations.
  • Draft summaries, memos, and comparison documents to support decision-making.
  • Participate in the annual Management review of the Food Safety and Quality System.
  • Ensure appropriate allocation of resources for food safety and quality.
  • Responsible for maintenance of food safety and quality assurance.
