About The Position

The EngOps Aces (Advanced Cloud Engineering and Supportability) team is seeking an Executive Business Administrator to support two General Managers and their teams. We are looking for a driven, strategic thinker who is eager to grow their role and make a significant impact on our organization. The ideal candidate for this role can navigate and change directions quickly within a fast-paced environment, possesses required interpersonal skills and demonstrates required judgement and executive presence. Being detail oriented and having consistent and timely follow-through will be essential to success. This role required close partnership with the business management team and fellow business administrators across the Cloud and AI organization. This role offers a pathway to advancement into business management and project management roles, with opportunities for mentorship, exposure to strategic decision-making, and involvement in cross-functional projects. Requirements

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
  • Ability to meet Microsoft, customer and/or government security screening requirements are required for this role.
  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Nice To Haves

  • 3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
  • Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
  • 2+ years’ experience in Leadership support at global technology organizations.
  • 2+ years’ experience supporting a global team
  • 2+ years’ experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
  • Effective written and verbal communications skills and mastery of Microsoft Productivity tools (M365, Teams, Copilot, etc.)
  • Maintain the confidentiality of highly sensitive material with tact and professionalism.
  • Desire to take on big challenges and the ability to see the big picture as well as the details.
  • Ability to react with appropriate urgency to situations and requests.
  • Attention to detail with strong problem-solving and troubleshooting skills.
  • Strong cross-team collaboration and organizational skills
  • Consistently demonstrate a can-do and customer service attitude and ability to recognize and address support needs proactively.
  • Experience with business analytics, project management, or supporting business operations is highly desirable.

Responsibilities

  • Plays a visible and important role with customers, partners, team admins as well as contacts at all levels of Microsoft. Leads by example and serves as a role model to colleagues by maintaining a professional attitude, demonstrating executive presence, and influencing others. Works in close partnership with the Leadership Team (LT) and extended Leadership Team (XLT). Provides travel support and manages logistics for General Managers’ travel.
  • Works closely with Business Management team for budget reporting and ad-hoc items. Develops and maintains strong relationships with partner teams across multiple organizations (e.g., business-support professionals, Human Resources, CELA, etc.).
  • Provides calendar management and time planning support for General Managers, ensuring the schedule aligns with their priorities and commitments. Must have ability to analyze and respond to changing business priorities daily and provide clear and proactive communication to leaders on schedule adjustments. May manage community space/conference room calendars. Learns and/or aligns calendar based on knowledge of manager's preferences and operating styles.
  • Contributes to our organization's workplace culture by participating, promoting, and contributing to team, organization, and division events/activities. Provides team support by managing distribution groups, organizational charts, budget OPEX tracking, Microsoft Teams channels, SharePoint sites, and contributing to new hire onboarding and employee departure experiences. Responsible for headcount/PCN management, space allocations, collection of Microsoft assets and timely updating of Employee Central data. Manages space for team.
