About The Position

North Central International is a full-service International Truck dealer group with locations across Minnesota, Northern Iowa, North Dakota and South Dakota, offering truck sales and service, parts sales, and Idealease truck leasing/rentals. The primary focus is to keep customers on the road by having an exceptional experience. The Business Administrative Assistant serves as the first point of contact for all incoming calls and visitors at the dealership, efficiently directing inquiries and providing basic information. This role supports the accounting department by assisting with billing, invoicing, and basic bookkeeping tasks. The ideal candidate is organized, customer-focused, and adaptable, with strong communication skills and the ability to handle multiple tasks independently and as part of a team. This position offers opportunities to take on additional accounting responsibilities over time.

Requirements

  • High school diploma or GED required
  • Basic understanding of accounting principles or willingness to learn.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Strong verbal and written communication skills.
  • Ability to multitask and manage time effectively.
  • Professional and courteous demeanor with excellent customer service skills.
  • Ability to work independently as well as collaboratively in a team environment.

Nice To Haves

  • Associate’s degree or higher in Business Administration or related field preferred.
  • Previous experience in an administrative or receptionist role preferred.

Responsibilities

  • Serve as the primary point of contact for the office by answering, screening, and directing incoming telephone calls promptly and professionally, and by greeting and assisting visitors in a courteous and helpful manner.
  • Perform general administrative and office duties, including data entry, filing, maintaining accurate and organized records, and ensuring a clean and orderly front desk and office environment.
  • Support accounting operations by performing accounts payable and accounts receivable functions, including ensuring proper coding, review, approval, billing administration, posting journal entries, reconciling invoices and cash transactions, and responding to billing and credit application inquiries.
  • Administer and monitor the accounts receivable process, including routine collection calls as necessary to address past‑due invoices in accordance with company policy.
  • Assist with the administration of monthly insurance reconciliations and remittances.
  • Interact regularly with the Service Department, Account Manager, and Rental Department regarding accounts payable, inventories, repair orders, new units entering service, and units being removed from service or sold.
  • Develop, maintain, and monitor secure filing systems for contracts, units, and related documentation, ensuring compliance with legal and regulatory requirements, including monitoring expirations and advising staff of potential issues.
  • Review and analyze financial data, including the general ledger, trial balance, income statements, and monthly financial results, and compare performance to the business plan, recommending corrective actions when appropriate.
  • Understand company policies and procedures and assure they are understood and followed by all personnel.
  • Communicate effectively and professionally with customers, vendors, coworkers, and management, demonstrating strong organizational skills and the ability to manage multiple priorities and meet deadlines.
  • Assist with special projects and perform additional administrative or accounting duties as assigned by management.
  • Participate in company meetings, training programs, and professional development opportunities as required, demonstrating a willingness to learn, adapt, and grow within the organization.
  • Handle employee and customer interactions professionally and courteously, promote teamwork and cooperation, demonstrate honesty and integrity in all company dealings, and perform all duties in a manner consistent with company policies, standards, and expectations.
