We are seeking a Branch Administrator to provide support for the Physical and Life Systems Branch (QLB) in the Asymmetric Operations Sector. You will be responsible for day-to-day administrative activities, as well as working with a strong administrative team within the branch. As a Branch Administrator, you will... Coordinate and expedite efforts for senior leaders in a fast-paced environment. This includes proactively performing day-to-day activities, such as maintaining calendars, crafting agendas, and planning meetings. Track and coordinate timely responses from branch leaders and staff to data calls, some of which contain administratively sensitive information. Anticipate and plan for regularly scheduled activities such as performance and salary reviews, branch strategy reviews, overhead and capital planning, internal research and development (IRAD) calls, etc. Review documentation and correspondence to ensure accurate information and conformance to guidelines. Develop knowledge and maintain up-to-date data for a large number of operational practices and procedures in order to provide authoritative information in response to requests. Assist with the development of presentations, to include research, data collection and organization, and editing and formatting. Promote the use of communication and collaboration tools to increase partnerships between the branches and across the Sector. Maintain administrative cognizance over branch activities, provide insights to the branch supervisors, and assist branch staff, as needed. Be the voice for group administrative assistants with branch supervisors. Advocate for them, encourage growth opportunities, and motivate and guide them. Coordinate branch activities that provide a time for branch members to meet and interact. Meet with Sector administrators regularly to support sector-wide initiatives.

Requirements

  • Possess a High School diploma or equivalent with a minimum of 5 years of administrative experience. A Bachelor' s degree in Business Admin, Management, communications or related business field may be substituted for required administrative experience.
  • Have strong digital literacy, including experience using MS Excel, Word, Outlook, and PowerPoint.
  • Are highly organized and have the ability to expedite activities to achieve positive outcomes.
  • Can independently analyze, summarize, and make recommendations on administrative and project-related activities.
  • Can work well on teams using discretion and tact, and possess excellent verbal and written communication capabilities.
  • Are willing to work non-standard hours occasionally.
  • Are able to obtain a Top Secret security clearance. If selected, you will be subject to a government security investigation and must meet the requirement for access to classified information. Eligibility requirements include U.S. citizenship.

Nice To Haves

  • Have at least 7 years of administrative experience at a branch/division level within a medium- to large-sized organization.
  • Hold an active Top Secret security clearance.
