About The Position

The Billing Specialist, under the supervision of the Office Manager in the Poughkeepsie office, is responsible for managing all aspects of water utility billing for customers while also providing comprehensive administrative support to the department. This position ensures accurate billing, timely payment processing, excellent customer service, and efficient office operations. The ideal candidate is detail-oriented, organized, customer-focused, and capable of handling multiple responsibilities in a fast-paced environment.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2+ years of billing experience required; utility billing experience highly desired.
  • Experience with utility billing software preferred.
  • Proficiency in Microsoft 365.
  • Strong data entry and numerical accuracy skills.
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality.

Nice To Haves

Responsibilities

  • Prepare, process, and issue monthly water bills accurately and on schedule.
  • Review and verify meter readings for accuracy and completeness.
  • Investigate and resolve billing discrepancies or irregularities.
  • Process payments, adjustments, credits, and refunds.
  • Maintain accurate customer account records in the billing system.
  • Coordinate with field staff (meter readers/maintenance) regarding service issues.
  • Provide administrative support to management and department staff.
  • Answer phone calls, maintain filing systems, and prepare reports as needed.
  • Assist with recordkeeping, data entry, and document management.
  • Support special projects and other duties as assigned.
