About The Position

The Billing and Inventory Clerk supports the accounting and sales teams by assisting with vehicle billing and inventory recordkeeping. This position is ideal for someone looking to start a career in automotive dealership administration and accounting. Training will be provided.

Requirements

  • At least 2+ years of accounting or back office automotive dealership experience.
  • Understanding of basic accounting principles.
  • Ability to effectively prioritize tasks and organize schedule.
  • Strong attention to detail and willingness to learn.
  • Ability to follow procedures and meet deadlines.
  • Ability to effectively prioritize tasks and organize schedule.
  • Detail-oriented and time-management skills .
  • Previous experience with CDK.
  • Basic computer skills (Microsoft Office or Google Workspace)
  • All applicants must be authorized to work in the USA.
  • All applicants must be able to demonstrate ability to pass pre-employment testing to include background checks, MVR, drug test, credit report, and valid driver license.

Responsibilities

  • Process and bill all new and used car deals and post into accounting.
  • Organize all deal paperwork; check for completeness and accuracy (verify costs and profits, signatures, VIN, etc.).
  • Enter vehicle sales data into the dealership management system (DMS).
  • Help prepare billing paperwork for lenders and manufacturers.
  • Maintain organized files for deals and billing documents.
  • Performing schedule reviews and reconciliation throughout the month.
  • Provide administrative support to management, other departments and employees as needed.
  • Assist with stocking in vehicles as they arrive.
  • Help maintain accurate inventory records in the system.
  • Track vehicle paperwork, including titles and MSOs.
  • Process dealer trades in and out.
  • Process wholesales.
  • Support physical inventory counts and resolve discrepancies with supervision.
  • File and organize accounting and inventory documents.
  • Communicate with sales, F&I, and accounting teams to gather missing paperwork.
  • Provide general clerical support to the office as needed.
  • Assist with filing and scanning.
