About The Position

R.W. LaPine Services Division Billing Coordinator Role Description R.W. LaPine is a fourth generation Mechanical Contractor currently covering Mid & Southwest lower Michigan with our headquarters located in Kalamazoo. As an established leader in the Plumbing, Piping, HVAC Commercial Service and Custom Metal products businesses, R.W. LaPine continues to experience significant growth in the markets we serve. We are looking for a Services Division Billing Coordinator to join our team! The Billing Coordinator will be a key member of the RWL Service and Finance & Accounting teams. This role will be primarily focused on billing our Service customers, but will also be responsible for performing other administrative tasks.

Requirements

  • Attention to detail and accuracy, while operating in an efficient manner
  • Proactive and a self-starter
  • Proficient with Microsoft Office, specifically Outlook, Excel, Word, as well as Adobe Acrobat
  • Comfortable communicating with customers regarding past-due invoices
  • Strongly preferred 3+ years of experience in a Billing or related role

Nice To Haves

  • Construction industry and/or proficiency with Sage 300 CRE a plus

Responsibilities

  • Set up new customer accounts and terms
  • Prepare and issue accurate invoices to customers
  • Review contracts, purchase orders, and billing terms to ensure proper invoicing
  • Monitor accounts to ensure timely payments and follow up on outstanding balances
  • Reconcile billing discrepancies and resolve client inquiries
  • Maintain required billing records and documentation
  • Collaborate with Operations and F&A teams on billing issues
  • Process adjustments, credits, and refunds as needed
  • Assist with month-end close activities related to Accounts Receivable
  • Generate billing reports for management
  • Ensure compliance with company policies and applicable regulations
  • Perform ad hoc requests from Service Leadership as needed
