Position Overview: The Billing Analyst is responsible for generating, auditing, and distributing accurate homeowner statements and coupon books for the communities we manage. This role is critical in ensuring timely billing, minimizing errors, and supporting the financial transparency of our client associations. Familiarity with the CiraNet system is a strong asset, as this platform is central to our billing operations.

Requirements

  • Experience with CiraNet (or similar HOA/real estate/property management systems) is highly preferred.
  • 2+ years in a billing, accounting, or data analysis role - preferably within HOA, property management, or financial services.
  • Strong attention to detail and commitment to data integrity.
  • Proficiency in Excel and general data formatting/analysis.
  • Excellent organizational and communication skills.
  • Ability to meet deadlines in a high-volume, deadline-driven environment.
  • Experience coordinating with cross-functional teams and vendors.

Nice To Haves

  • Familiarity with HOA financial operations, assessments, and dues structures.
  • Experience working with customer statement production.
  • Understanding of regulatory and confidentiality requirements in financial communication.

Responsibilities

  • Generate and manage billing statements and coupon books for HOA members across all managed communities.
  • Utilize CiraNet to pull homeowner account data, validate billing cycles, and prepare outputs for printing or digital delivery.
  • Audit financial data for accuracy and ensure alignment with association fee structures, late fee policies, and special assessments.
  • Coordinate with internal teams (Accounting, Community Management, Customer Support) to verify and update homeowner records.
  • Work with third-party printing and mailing vendors to ensure timely distribution of statements and coupons.
  • Respond to internal inquiries and support issue resolution related to billing discrepancies or delivery issues.
  • Maintain documentation and SOPs (Standard Operating Procedures) for recurring tasks and special projects.
  • Participate in process improvements and system enhancement discussions related to billing and communication.
  • Plus other work-related tasks as needed
