About The Position

Assists with first aid and medication administration to students to meet their immediate health needs. Assist with building events, activities and/or conferences. Assist with collection, posting and processing of student fines, student fees, ASB related activities, athletic and or general activity payments. Acts as a liaison between administrative staff, district personnel, students and/or the public. Ensure that building keys are issues, tracked and monitored. Maintain various records, schedules, files, and rosters in appropriate information system(s). Provides correspondence including but not limited to letters, notifications, program inquiries, and/or verifying policy content with supervisor. Assist in projects to meet building needs and/or requirements. Follow district procedures for the procurement of supplies, equipment, printing and maintenance services. Placing orders and/or receiving office supplies. Document and track maintenance requests and/or work order status. Contact maintenance/facilities to request repairs, emergency assistance such as safety, security, and/or hazardous situations. Review and schedule requests to use facilities for events. Schedule appointments and/or meetings for Principal(s). Greet visitors, students, parents and/or district personnel. Assist with collecting student fines, fees, providing receipts, distributing student schedules, and student checkout throughout the school year. Aid with student bus routes including but not limited to reading, using or searching information from maps or schedules provided by the Transportation Department, and/or contacting an appropriate department for further assistance. Provide secretarial review in the completion of discipline letters, student handbook, and faculty handbook. Maintain building staffing list which may include classroom number, extension, class period, and any other information to assist incoming substitutes, parents, students or district personnel. Assist with radio and audio contact with police, security, and/or administrator(s) during lunch period(s) and throughout the day. Composes documents to communicate information within building and district personnel, the public, state officials, etc. Submit and/or approve various requests to include but not limited to purchase orders, requisitions, travel authorizations, travel reimbursements, district personnel absences, loss of planning or fail to fill, substitute requests, field trips, extra duty pay requests from district staff, and/or any additional approval workflows under supervisor direction. Provide secretarial support in the review of building and program budgets to include but not limited to inputting and/or requesting journal vouchers (JV’s) in alignment with Fiscal procedures, tracking data changes, informing administration of budget errors and/or negative balances. Ensures accuracy of charges made to budget(s). Processes, reconcile, and ensure accurate posting of student fines, student fees, ASB related activities, athletic and/or general activity payments. Participate in District meetings to communicate information and gain feedback and/or direction on a variety of issues. Maintain inventory of office supplies to ensure availability of required items. Distribute documents and materials to appropriate staff, students and/or parents. Answer phones including support for other departments, taking messages, responding to voicemails and/or forwarding calls. Perform secretarial duties to assist in the daily activities for the building and administrator(s). Assists with supervision of students to ensure a safe and productive learning environment.

Requirements

  • High school diploma or equivalent, required.
  • Bilingual and/or Biliterate (Spanish), required.
  • Knowledge of general office equipment such as computers, copiers, laminators, telephones, scanners, paper cutters, book covering materials, and/or step ladders.
  • Knowledge in proper use of English in both written and verbal forms, use of correct grammar, spelling, and punctuation.
  • Maintain detailed and accurate records.
  • Skill in operating standard office equipment including basic computer applications.
  • Ability to sit and/or stand for prolonged periods.
  • Understand and conduct verbal and written instruction.
  • Knowledge of general ASB rules, policies and regulations.
  • Knowledge of cash handling procedures.
  • Passing score on district administered clerical test.
  • Passing score on district administered bilingual test.
  • Keyboard accuracy of at least 45 words per minute (WPM) on district administered typing test.

  • Prior job-related experience preferred but not required.
  • Experience working in a K-12 setting preferred but not required.
