Bilingual Office Assistant Status: PRN (Relief) Location: Gardners, PA Work Hours: Monday 9:00 am - 2:00 pm, Tuesday 12:30 pm - 8:30 pm, Thursday 9:00 am - 2:00 pm Position Overview: We are seeking a detail-oriented and efficient Bilingual Office Assistant to join our team! The primary function of this position is to accurately and efficiently enter data for the Statewide Agricultural Worker Program into the Practice Management/Electronic Health Records (HER) system and assist/back-up the Office Manager as needed in administrative areas/functions. Requirements

  • High school diploma or GED required
  • Bilingual (Fluent in Spanish/English) required
  • Previous experience in an administrative or office assistant role preferred.
  • Proficiency in data entry and familiarity with health records systems.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both verbal and written.
  • Ability to work independently and as part of a team.

Responsibilities

  • Accurately and efficiently enter all registration information into the EHR system
  • Set up appointments for each registration and encounter and communicate to the provider or nurse that the chart is ready for clinical review.
  • Welcome patients and visitors to the office.
  • Check-in and check-out patients in the clinic, including receiving payments, closing drawers, preparing balance sheets, posting payments, and creating deposit reports.
  • Scan documents into patients' medical records
  • Perform clerical tasks and errands such as sorting and sending mail, going to the post office, faxing, filing, making copies, and creating labels.
  • Answer phone calls and take/deliver messages.
  • Prepare and send monthly reports for tracking gas used by company vehicles.
  • Maintain files and record information as needed (such as staff schedules).
  • Maintain office supplies and equipment.
  • Assist or act as a back-up for the Office Manager with tasks such as billing and monthly reports.
  • Act as an interpreter for Spanish-speaking patients as needed.
