Jefferson Center is looking for a positive, customer service focused person with exceptional administrative skills to assist clients and staff in an administrative support role at the front desk. The Administrative Support team positively assists clients, staff and visitors at the front desk of a residential behavioral healthcare facility.  In addition to working with clients and their support network, this position assists with building operations, answers a multi-line phone system, and completes administrative projects. This position works in person at the Zang location in Lakewood, CO. This position will be Monday - Friday 8:00am – 4:30pm. This position does not have a remote work option. This is an opportunity for a person who thrives in a dynamic front-desk environment, maintaining professionalism and efficiency while managing multiple priorities and frequent interruptions.

Requirements

  • High School Diploma or GED equivalent required.
  • One year of relevant administrative work experience required.
  • Bilingual (Spanish/English) required.
  • Ability to work with frequent interruptions and changes to daily operations

Responsibilities

  • Excellent customer service and communication skills
  • Assist clients, visitors and staff positively and with a helpful, cheerful disposition
  • Support and oversee Front Office in-person operations
  • Ability to work in a dual position as a member of the Admin Support and Zang building team
  • Ability to support a wide variety of administrative projects and tasks for Jefferson Center clients and staff completing assignments and projects accurately, independently and on time
  • Assist the Residential Recovery program with outreaching and scheduling clients for Admission to the program. Other projects assigned
  • Assist all units in the building with administrative projects as assigned
  • Inventory and order building supplies. Organize individual unit orders and deliver items to the unit
  • Support the basic accounting process for incoming funding to the building
  • Support building operations as administrative support to the Zang Building Leadership team
  • Process and distribute mail
  • Contact Facilities Manager for all building maintenance needs
  • Use technology including Zoom, Teams or other virtual platforms to support Telehealth operations and attend team meetings
  • Ability to utilize and input information into an Electronic Health Record
  • Ability to work a flexible daily schedule independently and with little supervision
  • Ability to learn the operational needs of the Zang building and adjust as needs change
  • Initiate and maintain effective interpersonal relations with consumers, peers, staff and the general public exhibiting courtesy, enthusiasm, flexibility and a spirit of cooperation.
  • Timely and thorough response to phone calls, email, Teams messaging and other requests from consumers and staff
  • Attend mandatory meetings and trainings. To be compliant with individual training plan.
