About The Position

The Bilingual Intake Specialist serves as the primary point of contact for new and active clients, ensuring a seamless onboarding experience and handling the coordination of services with care. This role focuses on building client relationships, monitoring referrals, and tracking authorizations to maintain efficient service delivery and client satisfaction.

Requirements

  • Fluency in Spanish is required for this role.
  • At least 2 years of relevant intake experience.
  • Previous experience working in scheduling or intake departments is required.
  • Strong communication skills and the ability to manage complex coordination tasks.

Nice To Haves

  • Experience in ABA, Speech Therapy, or Occupational Therapy environments is highly preferred.

Responsibilities

  • Serve as the main contact for new inquiries and current clients, building and maintaining long-term trust.
  • Guide clients through the onboarding process and ensure all required documentation is accurately recorded.
  • Monitor and manage client referrals across various departments.
  • Collaborate with referral sources to maintain strong partnerships and support client acquisition.
  • Assess client needs to match them with the right services and clinicians.
  • Coordinate schedules, availability, and authorizations while proactively resolving any service barriers.
  • Review and manage client authorizations to ensure optimal use of our services.
  • Maintain accurate records for our waitlist and authorization tracking.
  • Provide regular updates to both clients and our internal teams.
  • Act as a liaison between clients and our clinical/administrative departments to support smooth transitions.
  • Engage with clients regularly to gauge satisfaction and collect feedback for service improvements.
