About The Position

-Prepare, maintain and distribute various weekly/monthly/seasonal reporting to staff and customers -Prepare and maintain job cost, productivity and gross margin reports -Assist branch with payroll, time and attendance processes, and reports -Manage the branch division’s day to day operations and general accounting and administrative activities independently -Work with the Branch, Account Manager and Field Supervisor in the execution of various office tasks and projects -Perform general accounting and administrative duties for the branch office and assist with seasonal transition -Provide quality customer service to all existing and prospective clients -Communicate and resolve client issues in accordance with company guidelines -Communicate and monitor branch deadlines -Order and maintain branch office equipment and supplies -Prepare and maintain enhancement proposals, work orders, and invoices -Assist in the contract renewal process -Maintain client data base -Participate and contribute in the company’s “lean management” principals and strategies -Performs other duties and responsibilities as requested or required

Requirements

  • 3+ years of experience in an administrative or office manager capacity
  • 3+ years of experience using MS Office tools
  • Bilingual English/Spanish
  • Able to work independently
  • Computer Skills
  • Attention to detail
  • Strong customer service skills
  • Strong organizational skills with the capability of multitasking
  • Ability to handle strong personalities
  • Comfortable working alone in an office for long periods of time
  • Comfortable with cyclical nature of business - some weeks will be crazy busy, some weeks might be very slow

Nice To Haves

  • Experience with billing or invoicing
  • Any payroll or experience (using Paycom)
  • Purchase Order and/or Work order experience
