About The Position

The Benefits Manager is responsible for the administration, execution, and continuous improvement of the organization’s employee benefits and wellness programs. While upholding department and company policies, the Benefits Manager is responsible for directing and planning the day-to-day operations of benefit programs to include health, life, short- and long-term disability, dental, vision, flex spending plan, worker’s compensation, all supplemental insurance products, the 401K plan, and wellness program, supports compliance efforts, and partners with HR leadership to ensure programs remain competitive, cost-effective, and aligned with organizational goals. The position focuses on operational excellence, employee experience, and vendor coordination. The Benefits Manager is a vital role in Human Resources, assists HR department as needed.

Requirements

  • 5–10 years of progressive benefits administration experience.
  • Strong working knowledge of federal and state benefits regulations.
  • Experience coordinating wellness or employee engagement initiatives.
  • Strong analytical skills with the ability to interpret benefits data.
  • Excellent communication and organizational skills.
  • Proficiency in HRIS and benefits administration platforms. Ex – ADP Workforce Now

Nice To Haves

  • CEBS, SHRM-CP, or PHR certification preferred but not required.

Responsibilities

  • Administer and maintain employee benefits programs including medical, dental, vision, life, disability, retirement, leave, and voluntary benefits.
  • Support plan design updates and enhancements in partnership with HR leadership and external brokers.
  • Conduct basic benchmarking and utilization reviews to support renewal discussions.
  • Assist with cost analysis and provide reporting to support decision-making.
  • Monitor benefits trends and recommend process improvements.
  • Support the implementation and ongoing management of the organization’s wellness initiatives.
  • Coordinate wellness activities such as health campaigns, mental health awareness efforts, financial wellness sessions, and engagement challenges.
  • Track participation metrics and assist in evaluating program effectiveness.
  • Promote wellness programs through internal communications and employee outreach.
  • Ensure programs follow applicable compliance guidelines (Workers Comp, ADA, GINA, etc.).
  • Serve as the primary day-to-day contact for benefits vendors and third-party administrators.
  • Support renewal processes, data collection, and documentation preparation.
  • Monitor vendor service levels and escalate issues as needed.
  • Assist in coordinating RFP processes when applicable.
  • Ensure compliance with ERISA, ACA, COBRA, HIPAA, FMLA, Workers Compensation and other applicable regulations.
  • Prepare and distribute required employee notices and documentation.
  • Maintain accurate records and support audit requests.
  • Partner with payroll and HRIS teams to ensure data accuracy and regulatory reporting.
  • Lead operational planning and execution of open enrollment.
  • Develop enrollment materials and communication campaigns.
  • Provide employee education sessions and one-on-one support.
  • Resolve escalated benefits issues with professionalism and confidentiality.
  • Manage benefits administration systems and ensure data integrity.
  • Generate regular reports on enrollment, costs, and participation metrics.
  • Identify opportunities to improve efficiency through system enhancements or automation.
  • Assists with evaluating benefit services, coverage and options available to determine programs best meeting needs of organization,
  • Ensures compliance of employee benefits programs with all legal requirements to include COBRA, HIPAA, FMLA, ADAAA and ACA and all appropriate agency reporting and filings. Remains current on related law, regulations and practices affecting employee benefits programs,
  • Analysis, identifies and stays current with opportunities to streamline processes for efficiencies and effectiveness by way of outsourcing, technology and HRIS system,
  • Maintains consistency and integrity of data in HRIS, payroll and benefit carrier systems by performing audits and ensuring timely processing of benefits information and premium adjustments, when necessary,
  • Administers Leave of Absence Program to include FMLA, non FMLA leaves, workers compensation and ADAAA,
  • Coordinates daily benefit processing and customer service to include notifying employees of changes in their benefits programs and consultation on eligibility and provisions. Maintains benefit records accordingly,
  • Investigates, analyzes and resolves a wide range of benefits issues to include documentation of steps taken and resolution,
  • Develops strong relationships with benefit carriers; serves as a liaison between team members and carriers,
  • Reconciles monthly benefit invoices,
  • Manages annual open enrollment process and rollout to include communication materials, the transfer of data to external contacts for plan administration, auditing and reporting,
  • Develops and distributes scheduled communications to employees regarding benefit plans and health topics.
  • Manages and markets wellness program. Encourages and facilitates team member engagement in wellness activities and events to support healthy lifestyle initiatives,
