About The Position

The Clinic Operations Supervisor serves as the operational and administrative leader for Child Saving Institute’s full-service mental health clinics. This role independently manages daily clinic operations across multiple locations while supervising and developing administrative staff. The Supervisor ensures efficient, trauma-informed, and client-centered front-office operations that support clinical teams, improve access to care, and align with organizational, regulatory, and accreditation standards. This position plays a critical role in performance management, data integrity, KPI development, referral growth, and strategic expansion. The Supervisor partners closely with clinical leadership and intake teams and will spearhead the planning and operational launch of CSI’s second clinic location anticipated in 2027.

Requirements

  • Associate’s degree or 4 years' experience in administrative leadership
  • Experience supervising administrative staff in a healthcare setting
  • Strong leadership skills with the ability to coordinate across multiple sites
  • Demonstrated ability to work with data, develop KPIs, and drive performance.

Responsibilities

  • Independently manage day-to-day operations for multiple full-service mental health clinic locations.
  • Provide direct supervision, coaching, and performance management for two or more administrative/front-office staff.
  • Ensure consistent, efficient, and professional front-office workflows, including call management, scheduling, registration, and client communication.
  • Serve as a visible leader within clinic environments, modeling integrity, accountability, and trauma-informed care principles.
  • Train, mentor, and develop administrative staff to ensure role clarity, accountability, and service excellence.
  • Conduct regular performance check-ins, coaching conversations, and corrective action when necessary in alignment with HR policies.
  • Maintain accurate personnel documentation and support compliance with organizational employment standards.
  • Develop, implement, and manage employee performance guidelines and expectations
  • Lead the development and execution of a strong, client-centered experience strategy across all clinic locations.
  • Participate in answering calls and scheduling appointments as needed to ensure timely access to care.
  • Ensure families and clients are supported in a respectful, confidential, and trauma-informed manner throughout their engagement with CSI.
  • Track, validate, and analyze operational and performance data to ensure accuracy and reliability.
  • Develop, implement, and monitor clinic KPIs related to access, scheduling, staff performance, operational efficiency, and financial stability focused on recovery efforts for copays and payments.
  • Prepare data and insights for leadership to support decision-making, performance management, and continuous improvement.
  • Identify inefficiencies and lead process improvements to enhance clinic operations and scalability.
  • Partner with the Intake Coordinator and clinical leadership to support referral marketing and behavioral health partnership development.
  • Strengthen relationships with external referral sources, community partners, and stakeholders to support clinic growth.
  • Support outreach and communication strategies that expand access to CSI’s behavioral health services.
  • Spearhead operational planning for the launch of CSI’s second clinic location anticipated in 2027.
  • Develop scalable workflows, staffing plans, KPIs, and operational processes to support clinic expansion.
  • Support implementation of systems, training, and performance expectations
  • Maintain a professional, confidential, and compliant clinic environment aligned with organizational values and all applicable regulatory, licensing, and accreditation standards.
  • Ensure adherence to privacy, confidentiality, and documentation requirements at all times.
