About The Position

The Beach Pride Events Coordinator is responsible for the day-to-day development and production of student events sponsored by the Associated Students, Incorporated (ASI) and its University Student Union (USU). The incumbent assists in the formulation, coordination, and execution of the social, cultural, educational and entertainment programming in collaboration with the Beach Pride Events department. This position advises the Beach Pride Events students on aspects of general weekly programming, and in addition works on major events. The incumbent establishes and maintains effective working relationships with members of the university community and off-campus resources and is responsible for coordination of collaborated programming efforts with the office of Student Life and Development, the Office of Belonging and Inclusion, Student Housing, Athletics, and other campus programming units.

Requirements

  • Bachelor's degree (B.A.) or equivalent from four-year college or university in educational psychology, humanities, recreation or job-related field; and one to two years' related experience or equivalent combination of education and experience.
  • Current California Driver's License and a satisfactory driving record as determined by ASI.
  • Thorough knowledge of event programming principles and practices, preferably in a college union, student affairs, or nonprofit organization setting; general knowledge of the methods and problems of organizational and program management; general knowledge of the principles of individual and group behavior; general knowledge of research techniques; general knowledge of contract negotiation.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to inquiries from students, faculty, staff, professional vendors, and members of the local community. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements and goals. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to work with a variety of cultural backgrounds; gender, sexual orientation, and political affiliations.

Responsibilities

  • Assists with the design and implementation of a wide range of co-curricular, culturally diverse events and activities to enhance the USU environment, foster student engagement with the CSULB campus, and support annual ASI Student Government and corporate initiatives. Plans and executes events daily events such as entertainment and educational programs, shows, theatrical events, lectures, and other programming activities with the approval of Beach Pride Events management.
  • Collaborates with the Student Recreation & Wellness Center programming staff as needed in the design and implementation of co-curricular, culturally diverse events and activities to enhance the Student Recreation and Wellness Center (SRWC).
  • Plans and negotiates entertainment contracts in consultation with the Beach Pride Events management. Makes the necessary scheduling, equipment and logistical arrangements for the events. Evaluates risk management and safety protocols in all ASI events in coordination with the Beach Pride Events management. Maintains contact with vendors. Continuously develops list of frequently used and approved vendors with the campus.
  • Assists and advises in the evaluation of programs and activities in conjunction with ASI goals and objectives that measure student satisfaction, student learning outcomes, and program effectiveness. Makes recommendations for change through analysis of program participation, student surveys, and needs assessments.
  • Provides information and interpretation of ASI policies and procedures related to programming to student event planners and other involved parties.
  • Develops and maintains relationships with faculty and staff to exchange and update information and to enlist support for programs through faculty advisement, group membership, guests speaking engagements, etc. Serves on various university committees as requested.
  • Provides direction to the student assistants to ensure a comprehensive programming plan for the ASI and USU. Guides students in the design and delivery of student programs, services, and special events. Evaluates student proposals and suggests modifications.
  • Ensure successful delivery of diversity-oriented programs and monitor the effectiveness of inclusive cultural, diversity and identity-based programs. Assist the department to create an intentional focus on diversity, equity, access and inclusion events.
  • Ensures that events programmed by Beach Pride Events are marketed in an effective manner to ensure that all students are informed of events and that marketing materials are presented in a professional manner. Arranges publicity, advertising and program promotions though social media, stories, publications, flyers, posters, website, newspaper ads and other relevant media.
  • Provides professional development training program for student staff and volunteers to include workshops, seminars, retreats, and networking. Provides leadership, guidance, and advice to student programmers. Assists them in developing programming skills through the planning and coordination of events and activities. Develops leadership and learning experiences and other learning outcomes for student participants.
  • Maintains fiscal oversight of programs produced by Beach Pride Events. Advises student assistants on the financial status of their programs. Keeps record of receipts and expenditures. Maintains the operating budget for programming areas.
  • Drive university vehicles as needed including ASI carts, van and/or truck.
  • Other duties as assigned, reasonably within the scope of the job.
