The Role The B2B Fulfillment Project Specialist supports the execution of complex B2B orders after deal close/won. This role helps shepherd projects through the sales process to delivery by ensuring all tasks, documents, and deliveries are aligned and informed with the customer satisfaction as the greatest priority. It's a great opportunity for someone detail-oriented who thrives in fast-moving environments and wants to grow into a more strategic project management role.

Requirements

  • Strong organizational skills and attention to detail
  • Experience with CRM systems and order management software
  • Intermediate Excel skills (data entry, formulas, pivot tables, tracking spreadsheets)
  • Excellent communication skills (written and verbal)
  • Ability to manage multiple projects simultaneously
  • Problem-solving mindset with customer-first approach
  • 1-3 years experience in operations, project coordination, or customer success (preferred)

Responsibilities

  • Orchestrate communication with last mile partners and customers via email, phone, tracking pages, and system inputs, ensuring information is clearly communicated and expectations are set
  • Monitor post-sale B2B operations pipeline and flag issues to Sales, Customer Service(CS), and Logistics teams
  • Track milestone completion (e.g., COI received, White Glove Delivery scheduled, installation completion, documentation submission)
  • Maintain internal project trackers and update order records in CRM/OMS tools (HubSpot, order management systems)
  • Communicate directly with customers for delivery updates, document collection, and site-specific needs
  • Join customer calls with Sales and Customer Service. Responsible for delivery coordination and installation follow-through
  • Prepare internal handoff documentation and support white glove logistics setup
  • Escalate issues promptly to internal teams for resolution
  • Dashboard and KPI report management for operational visibility
