SUMMARY Assist and supports the Project Manager in scheduling equipment, resources, and information to implement projects; this includes organizing, attending, and participating in stakeholder meetings, documenting and following up on important actions and decisions from meetings, and ensuring all documentation is maintained appropriately for each project.

Requirements

  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Experience with Project Management tools such as Excel, Microsoft Office, PowerPoint, and Project
  • Good planning and organizational skills
  • Experience within a customer service field, e.g., retail or food service

Nice To Haves

  • Four-year technical degree (Chemistry, Biology, Engineering, etc.) preferred, though Associate Degree and experience in the CDMO/Manufacturing industry would be considered.
  • Smartsheet experience a plus

Responsibilities

  • Establish document templates to capture and track project information upon project initiation
  • Plan meetings and organize project logistics
  • Perform project cost control tasks
  • Manage project-related paperwork by ensuring all necessary materials are current, properly filed, and stored
  • Organize reports, invoices, contracts, and other financial files
  • Assist with preparing and reviewing project proposals, memos, meeting minutes, and emails
  • Communicate with clients as needed and directed by the PM to provide updates, request information, and facilitate group communication
  • Prepare necessary presentation materials for meetings
  • Provide administrative support as needed
  • Monitor the progress of project tasks such as action items and key deliverables
  • Provide detailed updates to project managers or other stakeholders
  • Act as secondary client contact
