About The Position

PJ Networks is looking for a detail-oriented and adaptable professional to join our small IT services team as an Associate Office Manager. This role blends bookkeeping, client database management, and general administrative support—making it ideal for someone who enjoys variety and takes pride in keeping things running smoothly behind the scenes. You'll work closely with our Administrative Director and our current Office Manager, who is transitioning toward retirement. As you learn the ropes, we'll tailor responsibilities based on your strengths and interests. This is a great opportunity for someone who wants to grow with a close-knit team. Requirements

  • Experience with bookkeeping or accounting software (QuickBooks or similar preferred)
  • Strong attention to detail and organizational skills
  • Comfortable working with databases and learning new software systems
  • Excellent written and verbal communication
  • Ability to manage multiple priorities in a small-team environment
  • A proactive, problem-solving mindset
  • A positive attitude, good communication skills and a team mentality are absolutely required.

Nice To Haves

  • Experience in an IT services or professional services environment
  • Familiarity with ticketing/PSA systems
  • Previous experience supporting invoicing or client-facing administrative functions

Responsibilities

  • Client Database & Records: Maintain and update client records in our accounting, filing, ticketing, and quoting systems
  • Invoicing & Accounts Receivable: Prepare and send client invoices; follow up on past-due accounts
  • Bookkeeping Support: Process accounts payable, enter client payments, reconcile accounts, and assist with draft budget reports using accounting software
  • Quotes: Assist with drafting prospective client quotes and process signed agreements and initial client setup
  • Inventory & Supplies: Track office supplies and client hardware inventory; place orders as needed
  • Administrative Support: Assist team as needed, including providing general assistance to the CEO and support company event planning and execution
