THE ROLE: The Associate, Office Experience’s primary responsibility is to oversee day-to-day office operations and procedures while fostering a positive and engaging workplace. This role ensures employees feel welcomed, heard, cared for, and consistently informed about office and company updates. The ideal candidate brings a proactive, solutions-oriented mindset, a warm and supportive presence, and the ability to anticipate needs before they arise. This role also includes light first-line IT support, requiring basic technology knowledge and confidence in troubleshooting common issues or partnering with IT to ensure seamless workplace technology operations. We are seeking a true go-getter, someone who takes initiative, maintains a can-do attitude, and doesn’t hesitate to roll up their sleeves. A strong sense of ownership, resourcefulness, and flexibility is key. This person should be comfortable wearing many hats, navigating ambiguity, and stepping in wherever needed to support the smooth running of the office and daily employee experience.

Requirements

  • 1+ years in Office Management, Hospitality, Workplace Experience, or a similar people-facing role.
  • A naturally warm, approachable demeanor with a passion for building community and making others feel supported.
  • Experience planning high-impact team engagement events that go beyond just "happy hour" to foster a creative community.
  • A deep understanding of our brand voice, ensuring the physical office space reflects our creative identity.
  • A history of working cross-functionally with HR and Marketing to drive internal branding and employee morale.
  • The ability to MacGyver a solution when a presentation remote fails five minutes before a big pitch. You aren’t afraid of a mess of cables.
  • You have a basic understanding of Mac/PC hardware and AV systems (like Zoom Rooms or Google Meet) and the "Google-fu" skills to troubleshoot unfamiliar tech issues.
  • You don’t wait for a "To-Do" list. You notice the lightbulb that needs changing or the glitchy TV remote and handle it before anyone else notices.
  • You thrive in a "wearer of many hats" environment. You can pivot from setting up a high-stakes executive board meeting to restocking the kitchen without losing your cool.
  • Clear, concise, and professional communication, whether you’re writing a Slack announcement to the whole office or coordinating with external vendors.
  • The ability to handle sensitive information and office access with the utmost professionalism and integrity.
  • You are organized, detail-oriented, and possess the physical stamina to move equipment or prep event spaces when needed.
  • Strong ability to project manage tasks to completion

Responsibilities

  • Oversee daily office operations to ensure a professional, organized, and welcoming environment
  • Provide exceptional hospitality and serve as a warm, reliable first point of contact for employees, guests, and vendors
  • Proactively identify and resolve workplace needs to improve employee experience and operational efficiency
  • Coordinate with building management, vendors, facilities, and global IT partners to maintain seamless office operations
  • Support onboarding and offboarding logistics, including workspace setup, access, and equipment needs
  • Plan and execute office events and engagement initiatives to foster a cohesive and positive culture
  • Maintain office supplies, budget, deliveries, equipment, and vendor relationships
  • Ensure timely communication of office updates, logistics, and relevant company information
  • Foster a psychologically safe, inclusive, and supportive workplace environment
